Today, we want to talk about what the Mac has to offer in the “Organize My Email For Me” department: rules.</p><p>To summarize: rules in Airmail for Mac allow you to <strong>automatically organize your email</strong>, even without looking. When Airmail finds new messages, it can automatically apply a label to one message, archive another, create a PDF of another, and automatically trash a whole bunch. Or Airmail can:</p><ul><li>Display a notification based on keywords in the subject</li><li>Bounce the Dock icon based on the sender</li><li>Unsubscribe you from a mailing list based on keywords in the message body</li><li>Save a PDF copy to a folder <em>and</em> archive a message</li><li>Trigger an <a href="http://docs.airmailapp.com/airmail-for-mac/integrations/plugins-airmail-for-macos">Airmail Plugin</a> to, say, save senders to a newsletter service</li><li>Run an AppleScript based on any of the above criteria and more</li><li>do much more</li></ul><p>To summarize the summary: rules in Airmail for Mac are awesome, and they can save you a <em>lot</em> of time.</p><h3>Getting started</h3><p>You can explore rules in Airmail for Mac by going to <strong>Window &gt; Rules</strong>. If you aren’t familiar with how rules like these work, a core concept to understand is that they have two parts: <strong>if</strong> and <strong>then</strong>.</p><p>The idea is that <strong>if</strong> Airmail finds a new message with a particular sender, or a word in the subject, or an attachment with a certain name, <strong>then</strong> your rule tells it to take action on the message — archive, delete, bounce the dock icon, save a PDF, and more.</p><p>Give rules a try in Airmail for Mac and see if they can help your email workflow. One final parting tip is that, to be safe, you can test each rule with the Preview button in the lower right. You can quickly save an email as a PDF to your favorite cloud storage, respond with a template message, or hide it until you can respond later. There’s even a way to automate multiple steps, and we call it Custom Actions.</p><p>Here are a few scenarios: let’s say you frequently forward emails to a coworker and then trash them. Or maybe you frequently respond to certain kinds of emails with a template message. Or maybe you mark web receipts as read, save a copy to a Dropbox folder, then archive.</p><p>Custom Actions in Airmail can turn all of these scenarios, and more, into a single tap.</p><p><em>Note:</em> Because Custom Actions work differently on iOS and macOS, this post will focus on Custom Actions for iPad and iPhone. Stay tuned for our Mac post._</p><p><strong>Get Started</strong></p><figure><img alt="" src="https://cdn-images-1.medium.com/max/1024/1*YG4AOgzAcidkDSN0tj0PSw.jpeg" /></figure><p>It’s pretty easy to create a Custom Action in Airmail on iPad or iPhone. We have a few examples below to help get your gears turning, but here are the building blocks:</p><p>- In Airmail’s sidebar, go to Settings \&gt; Custom Actions</p><p>- On that screen, tap Create</p><p>- Tap in the top text box to name your action</p><p>- Tap Add Actions</p><p>- Scroll through the list, tap an action to add it to your Custom Action</p><p>- Rinse, repeat a couple times</p><p>- If necessary, use Edit to reorder your actions</p><p>- Once you’re done, tap the back arrow to save your Custom Action</p><p>Some actions allow for extra input, like addressing to specific people, picking a folder, or adding template text.</p><p><strong>Use your Custom Actions</strong></p><p>When it’s time to take custom action on an email, you have a couple options.             <content:encoded><![CDATA[<p>Airmail has a great Quick Filter menu which is located just above the messages list.</p><figure><img alt="" src="https://cdn-images-1.medium.com/max/500/0*Ob9eerKdREOVU_i_.png" /></figure><p>This menu allows the section of multiple filters.</p><p><strong>Enable the Filter Menu:</strong></p><p>If the menu is not visible, it can be enabled on by clicking on the View menu and select Show Filters. The keyboard shortcut to enable or disable the menu is ⌃⌥F (control + option + F)</p><p><strong>Quick Filter Menu Options:<br></strong>The illustration above indicate the purpose of the icons. Let’s discuss each option briefly as well as learn the keyboard shortcut.</p><figure><img alt="" src="https://cdn-images-1.medium.com/max/500/0*Bedd4XIS3Wl66ZVR.png" /></figure><p><strong>Show Unread Messages (1):<br></strong>This option displays Unread Messages only and hides all read messages. The keyboard shortcut is 1.</p><p><strong>Show Starred Messages (2)<br></strong>This only show messages that have been starred or flagged. Keyboard shortcut 2.</p><p><strong>Show Messages with Attachments (3)<br></strong>This only show messages that have attachments. Keyboards shortcut 3.</p><p><strong>Show Conversation (4)<br></strong>Only show Conversations. Conversations are email messages grouped with under the same subject. Keyboard shortcut 4.</p><p>Please note that conversation can be enable or disabled under Airmail Preferences under the Appearance tab. Select or deselect Conversations.</p><p><strong>Filter by Date<br></strong>This option allows users to filter messages according to a specific date. Clicking on the icon reveals a calendar. Click on a date to filter messages by and click apply. To chose a date range, hold the shift key and select each date you would like to filter messages by.</p><p>There is no keyboard shortcut for this option as a date or date range needs to be selected.</p><p><strong>Sort (5,6,7,8,9)<br></strong>Sorting your messages is easy with this Sort menu. Click on Sort to to view the options.</p><figure><img alt="" src="https://cdn-images-1.medium.com/max/370/0*EULTskkwUB6qweiC.png" /></figure><p>By default messages are sorted according to date in descending order. Messages can be sorted by any of the options above.</p><p>Simply click on the the desired sorting option and choose whether it should be sorted in ascending or descending order.</p><p>Once a Sort filter has been selected, the selection will be confirmed by a banner at the bottom of the message.</p><figure><img alt="" src="https://cdn-images-1.medium.com/max/500/0*Sy2yDMGSCEYJk37c.png" /></figure><p>To disable the filter, click on the X</p><p>There are multiple shortcut keys associated with the sort menu:<br><strong>Shortcut 5:</strong> Sorts according to Sender Name in Descending Order</p><p><strong>Shortcut 6: </strong>Sorts according to Subject in Descending Order</p><p><strong>Shortcut 7:</strong> Sorts according to Replied in Descending Order</p><p><strong>Shortcut 8: </strong>Sorts according to Unread Messages in Descending Order</p><p><strong>Shortcut 9:</strong> Sorts according to Date in Descending Order</p><p>Filter Combinations</p><p>All the above filters can be used together in any combination. Simply select the filters you want to use or use the shortcut keys.             <content:encoded><![CDATA[<p>To share files from Finder in Max OS X is now possible with Airmail’s Extension</p><p>There are two sharing extensions:</p><ul><li>Airmail Composer</li><li>Airmail Share</li></ul><p>We will discuss them in-depth shortly.</p><p>First, it is necessary to enable these extensions</p><p><strong>Enable Airmail Share Extensions</strong></p><p>1. Click on the Apple  in the menu bar and select System Preferences<br>2. In the 3rd row, click on the Extensions icon<br>3. In the left column click on Share Menu<br>4. Select the Airmail Composer and Airmail Share extension in the extension list.</p><figure><img alt="" src="https://cdn-images-1.medium.com/max/500/0*n2Y3P4azJcMcU96_.png" /></figure><p>5. Close Extensions and System Preferences windows</p><p>The Airmail Share extensions are now enabled.</p><p><strong>Extension Types</strong></p><p><strong>Airmail Composer Extension</strong> (In App Composer):</p><p>The Airmail Composer extension allows sharing of documents and files as attachment by opening a mail composer window without leaving the active application.</p><p>As seen in the image below, the document is attached when choosing the Airmail Composer extension.</p><figure><img alt="" src="https://cdn-images-1.medium.com/max/500/0*OugZU-sQNgMDNzAq.png" /></figure><p>Continue composing the email as normal and click on send.</p><p><strong>Airmail Share Extension</strong>:</p><p>The Airmail Share Extension, once clicked, opens the standard composer window of Airmail, effectively leaving the active application and going to Airmail app, where messages can be composed as standard.</p><p><strong>Using Share Extensions in Finder</strong></p><p>The Airmail Extensions are available anywhere on the Mac where you can see see the Share icon or on the right click menu in Finder.</p><p><strong>Using the Share Icon Menu</strong></p><figure><img alt="" src="https://cdn-images-1.medium.com/max/500/0*OJDTqD324jWNLMou.png" /></figure><p>1. Located the Share icon in Finder or any other app that supports it.<br>2. Click on it to open the Sharing Menu<br>3. Click to chose which of the Airmail Extension to use.<br>4. Open Airmail Preferences (⌘,)<br>3. On the Accounts Tab, click on the + sign and add New Account<br>4. A windows will appear with a dropdown menu to choose the Service you would like to add.</p><figure><img alt="" src="https://cdn-images-1.medium.com/max/500/0*P8VEdRHDjAiO0qXc.png" /></figure><p>5. Click on the dropdown menu and choose Exchange<br>6. Choose whether you would like to subscribe to your newsletter.<br>8. Choose whether you would like to save the account settings to iCloud. This is useful to import your account settings on Airmail’s iOS app or another Airmail App on a different mac.<br>9.
