The year 2022 has still been a crucial year in terms of digital workplaces and employee experience. The adoption of new technologies that will facilitate remote working and the use of digital products for this purpose have been increasing each passing day. While the importance of activities in the fields of employee experience, corporate communication, and human resources has been increasing and ranking at the top of the agenda of company executives, information technology teams have been trying to implement products and projects that enable employees to communicate from anywhere at any time and facilitate business processes.

In short, remote and hybrid working models have been creating significant changes in workplace and employee experience trends. Let’s take a look at the latest trends together.

1. Employee apps still continue to support hybrid and remote working models.

Unfortunately, although the pandemic has reduced its impact significantly, it still continues to affect our lives. The remote or hybrid working model is now an indispensable part of our lives. The majority of employees state that they want to have the opportunity to work from home when the pandemic is completely over and that they can be more productive in this working model.

Supporting hybrid and remote working models with employee apps and digital workplaces reveals that the flexible working model steams ahead. Thanks to process management facilitated by the intranets and employee apps, accessing information such as days to work in the office, social distance guides, desk and meeting room bookings, and much more has been very easy.

2. Internal communication has been getting centralized.

The emergence of the flexible working model increases the need for centralized internal communication. It has become the most important issue to bring together employees who are at the construction site, office, home, or in a different city, not in the same place but in the same working model.

Platforms such as Microsoft Teams, Skype, Zoom, etc. allow employees to communicate and carry out their daily tasks together. Moreover, the employee apps allow employees being instantly informed about information and announcements about their companies and provide an environment for them to communicate with their colleagues on matters other than work, thus preventing the breakup of their social ties. Employee surveys, in-app competitions, and events prevent employees from losing their sense of belonging.

3. Generation Z is taking its place in the business world.

The COVID-19 pandemic is not the only responsible issue for the change process in the business world that started in 2020, and the impact of generation Z entering the business world should not be underestimated. Young people have started to enter the corporate world; however, that they have approaches that make them unique compared to the previous generations is a known fact. This generation, which has been familiar with technology since almost birth, has much more experience in digitalization compared to previous generations. In this sense, the pandemic facilitated the adaptation of generation Z to the business world; in other words, the companies automatically got rid of the problem of how to adapt generation Z to the business world due to the pandemic.

Generation Z, which has creative, idealistic, and independent characteristics, has shown much more interest in flexible working culture. Benefiting from the impacts of the pandemic, companies have begun to reconsider almost all steps of their business processes and accelerated digitalization to include and adopt this new employee group in their systems.

4. Firstline Workers’ access to digital services increases.

In traditional working models, field, shop, and factory workers have much less access to digital services and internal communications compared to their counterparts having desk jobs. After the pandemic period, the importance of the employee experience increased, and we understood the value of the firstline workers more; thus, their access to digital services has begun to change.

Thanks to mobile-enabled employee apps, communication with this employee group, which lacked digital identity before, has become easier. Thanks to these apps that they can download to their smartphones, field workers started to be included in the digitalization processes. From now on, the digital gap between office workers and field workers seems to shrink, and it will continue to have a positive impact on the productivity, engagement, and sense of belonging of field workers.

5. Employee experience becomes more important.

Companies have lost a large number of talented employees to companies that quickly adapt to remote working models or companies abroad due to the extended working hours and the loss of sense of belonging during the remote working process. With the alleviation of the pandemic, employees who returned to their previous working models have begun to expect more appreciation and motivating steps for production from the organization they are affiliated with.

Companies that continue to support employee communication have digitally become the winners in this period when it is difficult to provide employee motivation. Employees need a personalized experience where they feel that their ideas are appreciated and where they can make themselves heard, and that is different from one-sided communication to stay connected to their organization.

The most important digital product you need to improve the employee experience is an Employee App. Juno is an employee app that allows you to communicate with all your employees from anywhere at any time thanks to its mobile structure. You can bring internal communication to a different level using Juno’s advanced Social Feed structure, while you can increase interaction and motivation among employees using the Appreciation & Acknowledgment feature. While your employees are instantly informed about news and announcements about your company through Juno personalized notifications, you can allow them to share their ideas about internal decisions by sending survey forms to them. While Juno digitalizes many business processes such as payroll, leave, and training requests, it allows you to get employee approvals on critical issues very quickly using its Read & Understand feature.

Juno Employee App aims to increase your employee loyalty while digitalizing internal interaction and communication thanks to its 40+ features included in 6 different experience packages.

Juno Employee App, offering 35+ features from web platforms as well as Android and IOS applications, ensures in-company communication anywhere and at any time.

Acting as the backbone of numerous organizations in different industries ranging from healthcare services and retail to manufacturing and sales, “Firstline Workers”, also known as factory or store employees, come to minds after other workers in terms of employee experience. Although firstline workers don’t have access to intranet in many corporations, you should consider that such workers are generally the first point of contact with the customers, and they must represent the corporate culture.

Firstline workers, who do not have access to the intranet and do not have a computer, have very limited access to company tools and information presented in the digital environment. The best information tool they have is a public computer where they can access their e-mail inbox.

Numerous research studies indicate that approximately 85 percentage of firstline workers feel disconnected from corporate technology and communication. This leads to reduction in the sense of belonging and increase in stress among the employees whereas it causes various problems for corporations such as reduced efficiency or even profitability. Don’t be scared! There are various ways to solve such problems. Let’s discover them!

1. Inform your employees continuously

Business processes have been digitized by supporting internal communication with intranets. The primary purpose of digitalization in business processes is to increase efficiency and productivity. The intranets possessing sufficient qualifications facilitated communication between employees and overcame spatial, temporal, and hierarchical obstacles. However, firstline workers are excluded from this process. By the banners and announcements placed on the bulletin board in the breaktime area, they continue getting informed about internal notifications.

By a digital platform accessible by all employees including the firstline workers, you should ensure them to reach internal notifications, events, and colleagues under different departments. You should inform your employees continuously about recent developments, innovations, and changes in the company. You should make them feel as a part of the company.

2. Involve all employees in your communication network

You should create a communication flow between senior management, employees, and varying employee stereotypes. The lack of connection makes life difficult for the managers who fail to get notified about employee problems or requests to realize the actual reasons for the decrease in employee loyalty and productivity.

You should establish a platform where your employees can interact and share ideas with the entire company. You can announce special occasions like birthdays or job anniversaries via this internal platform. For instance, you can imagine how an employee assigned to the manufacturing department of a textile firm would feel important when she/he gets a birthday celebration message from the principal officer.

Employees assigned to similar or different teams would thank to each other via this mobile application. You can offer all your employees, including firstline workers, the opportunity to thank each other through the mobile application. The employees can send “Recognition Badges” to their colleagues to support their achievements or strengths. In other words, the employees can send compliments like “creative, professional, team player, etc.” with a single click. This system ensures your employees to interact an it also increases their motivation.

3. Remember the firstline workers in your digital transformation phase

The digital workspace initiatives generally covered white collars up to now. The field workers are mostly excluded from this digital transformation and continue to receive most company information, duties and work schedules in paper format.

Let’s think about the smartphones that almost all of us have today. In the mobile-first world we live in, almost everyone has a smartphone, and it is very easy to access applications for needs. So, how hard is involving firstline workers in digital transformation?

Contacting your employees via mobile phones facilitates communication regardless of blue-collars or other employee groups. You can establish constant communication with your factory or store workers or field sales employees in different locations.

You can share corporate achievements, targets for the upcoming year and important updates like promotions through a social feed and you can increase visibility by your notifications to all employees. For example, you can be sure that informing your employees at different locations about an event and inviting them will strengthen their sense of belonging to your company.

A practical product for the firstline workers: Juno

You should create a space for your employees to voice their problems or share their ideas. The communication channel to be used by your employees shall serve as a private platform requiring logon. Your communication channel should be practical and user-friendly. You should create an innovative ambient for your employees to express problems or ideas freely. Such interactions take place under “social flow” in Juno Employee Application. The employees can share ideas through this social flow, ask questions to their colleagues or interact by giving answers and recommendations.

Firstline workers, who rarely come together with human resources, can submit their payroll or requests via the communication platform through the Juno Employee Application. Juno mobile structure allows your employees to request for payrolls, leaves, advance payments, and training sessions via mobile phones.

Bringing a social platform by increasing internal communication, Juno allows you to share corporate announcements, campaigns, and blogs. You can broadcast a live feed or share corporate videos and pictures via Juno.

Juno Employee App, offering 35+ features from web platforms as well as Android and IOS applications, ensures in-company communication anywhere and at any time.

Medium and large-sized companies consist of different groups such as field workers, blue-collar workers, headquarters or employees in different countries and locations. Grouping employees only according to these characteristics leads to missing the main motivation points. Employee groups differ according to different characteristics such as their backgrounds, cultures, age groups, and technology knowledge. Considering this situation, various communication needs arise for various employee groups.

To communicate effectively with your employees, you must first get to know them and understand what they expect from you. Personalizing the employee experience is the most effective way to increase employee communication with the company and ensure employee loyalty. Start by reviewing 5 steps you can take to personalize the employee experience with the right employee grouping:

1. Getting to Know Your Employee Audience

As the first step, you can start by getting to know your employee audience. Gathering easy, accessible information should be your priority when getting to know your employee audience. Since it is important to take quick action, after collecting the information in this step, find out in which location, with which departments you work and the number of employees in this department.

Now it’s time to separate your employees according to their demographic characteristics. Infer their gender, age group, language, and how many years they have worked with you. After this stage, learn their working patterns, do they work shifts, full-time, part-time, are they on the front lines, in the field, or do they work at a desk? After compiling all these, access the communication channels of the employees, which is one of the most important but overlooked details. What channels do they have and how much do they use these channels? Finally, how much information you can gather about employee engagement and motivation is another important and overlooked detail. After compiling this information, you can proceed to step two.

2. Identifying Personas

You can start creating personas based on the information you gathered in step one. Personas that are fictional characters representing your user types 3–8 will suffice. Personas should include qualities such as the difficulties, needs, interests, motivations of the audience they are addressing. Blue collars in your factory, salespeople in your stores, white-collar workers in your office or remote workers and any employee profile you can think of should form the center of the person you create.

Your main goal here is to clarify the ideas you have about the communication needs of your personas. Your goal is to communicate with people-specific content. For example, while you send your blue-collar employees’ announcements about the place where they work via mobile application, you send the announcements to the employees within the company via Microsoft Teams.

3. Segmenting

Now that you have come to this step, you should have completed the previous two steps. If you’ve completed it, it’s time to segment. In general, employees are divided according to their location, department, management level, type of work or projects they work on. But to make a good segment, some details must be paid attention to.

How to make a good segment? First, your segments must be distinct and identifiable. They must be different enough from each other that it is worth developing separate approaches. Your segment must be contactable via any channel. If you need to apply the same approach for each segment, unfortunately, you will not be successful. Their messages and targeting should be separate, such as women’s day messages, onboarding messages to a newcomer to your company. In addition to all these, most importantly, it should be an environment that will enable you to communicate with your employees and allow you to see their problems.

4. Personalized Communication

Personalization is to deliver messages that appeal to a specific group. It may be an advantage for you to use digital channels with the developing technology instead of traditional methods and channels. Creating a “Digital Workplace” has become a necessity in the age of technology. You have completed the previous steps and prepared the segments as well.

Now comes the step of personalizing the messages you will convey to your employees according to these segments. If you have created your digital workplace on the employee application, you can send your employees content that may be of interest to their segment, via personalized notifications. You can also enable employees to decide on the content they will choose according to their interests. Thanks to the application, you can have a detailed knowledge of the interests and shares of your employees. It will be easier for you to have information about your employees.

5. Using the Right Tools

With the increase in the remote working culture, you may be operating in different locations with various types of employees. Therefore, digital communication has become inevitable for you. Even if you complete all the above steps and do not use the right communication tools, it is very difficult to ensure continuity in internal communication. You should be able to address your employees in each segment you allocate in different ways. When communicating with your field workers via the mobile application, you need to communicate with a remote worker via Microsoft Teams. It’s time you met Juno, which will gather all these channels on one platform.

Do you know that you can prepare special content, events, and announcements for your segments in the Juno Employee Application? You can forward instant notifications to your segments from the Juno mobile application. You can share your team photos, corporate videos, and publish your surveys where you can collect the opinions of your employees, your “I read&understand” content on the Juno. With the Praise, you can increase inter-segment communication and at the same time strengthen employee-company loyalty.

Chatbots are software designed to simulate conversations with people, understand the end user, and get them to the desired result with minimal effort. It kind of represents the ancestors of humanoid robots that we encounter in science fiction movies. People who communicate with advanced, artificial intelligence-based chatbots may have the illusion that they are dealing with a real person. Chatbot, which has started to be used in many sectors today, is not only the systems that we communicate by writing. Famous services such as Siri, Alexa and Google Assistant, which we can communicate with by speaking, are also products of chatbot technology and are very successful.

Chatbots have a logic in their background, and the way they use this logic, and therefore the way it works, differs. Let’s briefly introduce three different types of chatbots and operating systems that use word-based, rule-based and NLP (natural language processing) technology.

Word-based chatbots have emerged to meet the most basic needs. Through the words entered in the database, the system presents the answer that is ready before the user enters that word. We cannot say that this system has been found to be very successful, as manual entries are required for each word and its derivatives one by one into the database. Considering that every word can be searched with many combinations, it is not possible to use this structure effectively.

We can say that the rule-based chatbot is a higher version of the word-based chatbots. They give accurate and consistent results. This software executes predetermined actions based on rules created in the backend of the user interface. It determines the answers with manually entered information. There is no self-learning and the expected result is already defined in the system. Rule-based chatbot technology, similar to a virtual assistant, acts according to click actions such as “Yes” and “No” or by recognizing a specific keyword or keyword phrase.

Finally, let’s take a look at NLP(Natural Language Processing) technology and AI-powered chatbots. The most important difference from other technologies is that it does not require any word and rule entry. By entering the data in your hand with the correct configurations, the machine is expected to understand the subject being taught. To put it more simply, these types of chatbots first understand what your question is, and then, once they understand your goal, instead of relying on a predetermined outcome, they give an answer they think is the correct answer based on the available data. By observing correct and incorrect answers over time, they improve themselves in understanding what the correct answer is.

Chatbots are software that companies frequently use to communicate with customers. What if we used these software to meet the needs of employees in internal communication? Juno Intranet brings together chatbot technology and employee experience for this purpose. In other words, it offers a chatbot that can answer the questions of employees in internal communication. Juno Chatbot uses a hybrid technology inspired by all of the chatbot variants mentioned above. In Juno Chatbot, which guides AI technology with rules and provides machine learning, AI understands the incoming question and gives the answer by combining it with predetermined rules. So what can be done with Juno Chatbot? Current company events and daily food menu can be accessed via Microsoft Teams. Employees can instantly forward requests to the company via contact forms. Employee payrolls are displayed quickly via the chatbot, preventing time loss for both employees and HR personnel. By learning the birthdays of their teammates, employees can quickly celebrate their birthdays with the “celebrate” button that appears. Juno Chatbot gives the most correct answer about who can be consulted in the company. In addition, Juno Chatbot guides internal communication, answering your questions about many Juno features and improving every day.

To maximize the employee experience with Juno and to use 35+ features that increase communication, interaction, and information flow on IOS, Android, and web platforms, you can contact us here or contact us via Microsoft Appsource, where Microsoft approved applications are added.

With the proliferation of online, or cloud-based, intranets, many companies have begun to wonder about the differences between On-premises intranets and which one is the more appropriate option. Before answering these questions, let’s briefly introduce the types of intranets and server structures running on Microsoft 365 (Online) and SharePoint On-premises, which we will examine from many aspects such as cost, workload, security and storage.

Online intranets run on Microsoft 365 and data is stored in the cloud. On-premises intranets are located on the institutions’ own servers, all data is displayed on the server source, and they do not have to be transferred to the internet environment unless high confidentiality data is requested. It is preferred by companies operating in sectors subject to legal obligations, who prioritize keeping control of their applications and data on their own servers. In addition to this advantage, it creates an additional workload since the IT team will make the On-premises intranet updates. Since the online intranet data is located in the Microsoft Data Center, updates are made by Microsoft.

Microsoft 365-based online intranets are flexible. Your intranet data is stored on servers in the cloud and backed up regularly. While on-premises do not pose a security risk similar to intranets, they may not comply with security policies for some companies as the location of the server and security standards cannot be determined by the company.

In terms of cost, Microsoft 365-based intranets do not have high initial costs such as server or high license costs. In Microsoft 365, license costs can be kept under control as licenses are paid per user. Setting up and running your intranet requires less workload and configuration on the online side, so you can deploy it faster. In SharePoint On-premises, the fixed server costs in setup are high and the workload is higher. The fact that the number of employees of the company is 10 or 1000 does not change the fixed server and license costs.

Microsoft 365 or Sharepoint On-Premises, whatever your preference is, Juno Intranet is at your service. You can choose Juno online and on-premises, and use its 35+ modules from IOS, Android and web platforms. In addition, thanks to Juno’s Microsoft Teams integration, you can keep track of your news, announcements and events through Teams, and ask all your questions to Juno Chatbot, while having your daily meetings and one-to-one meetings. In this process, we met with various communication applications or started to use the common ones more. Increasing intensive use brought competition with it. Who do you think is the winner of this competition that started between common communication applications such as Google Meet, Zoom, Slack and Microsoft Teams? Looking at the usage reports, it is clear that the winner is Microsoft Teams, which broke the record by reaching 115 million daily active users. Why was Microsoft Teams the winner? We can answer this question as Microsoft Teams offers an integrated communication environment.

We realized that in order to connect and collaborate in the changing business world with digitalization and the pandemic, we needed an experience that goes far beyond video meetings or stand-alone chat. We needed a platform where we could exchange ideas, connect with people, and work before, during and after the meeting. Teams has gathered our daily business communication (meeting, chat, call) and collaboration processes in a single environment. The integrated structure of Teams with Microsoft 365 products and 3rd party applications has taken it further than just a chat application. For example, by sharing a word or powerpoint file we created with our friends via Teams, we can create content together, organize meetings, and even hold meetings with 10 people with one click instead of sending a link for the meeting. We can get our approvals and permissions and make task planning and assignments. We increase our productivity with integrated 3rd party applications. By adding Planner to your Teams channels, we can make our daily plans, while integrating with your task management products such as Trello and Jira, we can carry out the work of the teams from here. These are just a few of the integrated applications.

Well, what if we told you that in addition to all these features that you can access without leaving Teams, you can also access your internal social communication network, that is, your intranet? By adding the Juno Intranet to the Microsoft Teams menu, we enable you to follow your news, announcements and events through Teams, while making your daily meetings and one-to-one meetings. We open 30+ intranet modules such as surveys, employee guides, process forms, vacancies, and food menus to your use on Teams as well as mobile applications and the web.

You can create a demo request here to meet Juno Intranet, which makes your daily work routine easier and increases in-company socialization, or you can contact us via Microsoft Appsource, where Microsoft approved applications are added.

Microsoft defines itself as “A company that enables digital transformation for a smart age, whose mission is to empower every person and every organization on the planet to achieve more.”

In these days when digital transformation is an inevitable reality, the number of institutions that start the transformation process with Microsoft products and pursue sustainable growth is increasing day by day. We will try to get to know some of the most popular Microsoft365 products of this giant technology company and take a look at the convenience they provide us in our business processes.

Microsoft Teams has become one of our most important communication tools, as many companies have switched to working from home or hybrid working system due to the global epidemic. Supporting internal communication and facilitating collaboration, Teams allows you to use all its features regardless of mobile and desktop. You can “chat” with your colleagues on this platform, which attaches importance to data security. You make video and audio meetings, it is as if you are making a presentation in the office with screen sharing, and it even allows you to feel as if you are addressing a group of people sitting in front of you with its “Together Mode”.

According to Microsoft’s data, Teams has reached 115 million daily active users, and this number is not going to drop easily. Because there are many companies that signal or openly announce that they will continue the office independent working culture when the pandemic is over.

Power Apps and Power Automate, on the other hand, work like a team that increases efficiency and speeds up your work. While Power Automate, formerly Flow, allows to manage workflows and verification processes in the background, end users can see and operate these flows created through the mobile application of Power Apps. Let’s include Sharepoint in this team and see how teamwork works with a short example.

“With PowerApps, form making and data entry are provided. The received data is saved in the existing or newly created data fields via SharePoint and sent for approval with Power Automate over these records.”

Let’s start with Power Apps to get to know our productivity team, which we mentioned in the example, a little better. Power Apps is a platform where we can develop all workflows such as purchasing, travel, permission forms, with drag-and-drop ease, through ready-made templates. It allows anyone who needs to easily create applications that used to be created by professional software developers, and interact with SharePoint lists and libraries, and data from in-house sources, without the need to write code.It also offers professional software developers the ease of developing and extending their applications.

Sharepoint, on the other hand, is a tool that provides customized workspaces to teams with files, data, resources and news that you can safely share. It allows you to start working on any device you want, regardless of mobile or desktop platform, and continue working from where you left off on another device.

Power Automate, another member of our productivity team, lets you to create automated workflows to take advantage of features like getting notifications, syncing files, and collecting data. It helps you easily create workflows to automate day-to-day work with robotic process automation (RPA) in a no-code and guided experience. Eric McKinney, Corporate Business Systems Manager at G&J Pepsi, sums it up with an example:

“With RPA AI Builder and Power Automate, we can get rid of many manual workloads such as accounting and auditing. The audit process is now automated by an in-store auditor through a Power Apps app and an AI model. In this case, Power Automate can manage stock levels in near real time.”

We talked about the convenience of Microsoft 365 products and the productivity team. Juno Intranet is also an employee application that you can easily include in this productivity team with Microsoft 365 integration. For example, you can run a consent form that you have created over Powerapps, and whose flow rules you have determined through Power Automate, through Juno. You can position Juno Intranet directly at the center of your communication by positioning it as a Teams tab. With the Microsoft 365 Single-Sign-On feature, when you log in from Juno, you can quickly switch to the links you gave to other applications in the 365 family without logging in again. You can create a demo request here to meet Juno and switch to the digital workplace immediately.

One of the topics we hear and talk about the most recently is “Digital Transformation”. With the pandemic, most companies prioritized or accelerated the digitalization process. But some companies ignored one of the most important employee groups for digital transformation to happen: “Firstline Workers”. So who are these firstline workers?

Firstline workers are employees who are the first point of contact between a company and the world it serves. They are often the first to interact with customers, represent a company’s brand, and see products and services in action. They form the backbone of many of the world’s largest industries. They are customer service representatives, cashiers, couriers, production line workers, and technicians. While some work in offices, most work on retail floors, delivery, repairing customers’ equipment, inspections or on production lines.

In many sectors, “firstline workers” constitute the largest group of workers. In fact, according to the data shared by Microsoft, this rate is 80% of the global workforce. In certain sectors, the rate is even higher — manufacturing, retail, healthcare and the public sector are among the most notable.

We have all remembered who they are now. So, do we know how to communicate with them in the digitalizing business world? Do we think we include them in our communication? Or is our communication effective enough?

“Innovation and change should reach the boardroom, the management team and field workers and not be limited to a select few groups or business units,” says Bryan Goode, General Manager of Microsoft Office 365. Mr. Goode points out, if you are aiming for a successful and sustainable digital transformation, one of the key issues to be resolved is to involve field workers in the process. You must make them a part of your transformation program and give them access to information and technology.

How do we involve “Firstline Workers” in the digitalization process?

Firstline Workers need flexible technologies that meet their needs. In most front-line businesses, such as sales or production lines, it is costly to provide a device specifically designed for communication and collaboration tasks. This cost can be minimized with an app that employees download to their phones instead of providing devices. An integrated solution that keeps on-the-go workers connected and productive will complement the digitalization process. Only a “Mobile Employee App” can provide this.

What do you gain by having a “Mobile Employee App”?

Having a mobile employee application where you can include all your employees gives you the following;

• Increases mobility. Regardless of where your employees are, continuous two-way communication can be established with them.

• Provides sense of company belonging. It strengthens the sense of belonging by increasing their interaction with a new social network that it will offer to your employees.

• Increases access. You do not need to send an e-mail or make a notification for many information you will convey to your employees.

• Facilitates the communication with your employees. You can easily share your announcements, annual sales targets and achievements with your employees.

• It is safe. Instead of non-corporate communication platforms that we all know, you can safely share your company information and flows in an application that includes only your employees and where you can easily remove employees from the system.

Reaching all your employees is one of the most important steps of growth and innovation. It will not be difficult to bring out the best in your employees by simply updating their technological skills. Firstline Workers in your company will ensure that your digitalization process is completed by reaching the knowledge and competence it needs.

You can immediately switch to the application that your employees need!

You can contact us here to meet the mobile intranet Juno, which all your employees can easily adapt to with its fast installation and more than 30 modules.
