Manage cognitive overload with the Marie Kondos of Personal Knowledge Management

Feeling overwhelmed by information everywhere all the time all at once? You’re not alone. Perhaps a little dramatic, but lately the internet feels as though it’s threatening to drown our cognitive faculties.

Our desktops and browser tabs are becoming overwhelmed with ideas, articles, random sticky notes, bookmarks, reminders and spontaneous brain child combustions. It makes sense, then, that PKM (Personal Knowledge Management) tools seem to be proliferating like never before.

The desire to organize and synthesize the chaos that is our online world has never been stronger (I.e we’re all overwhelmed by insurmountable pieces of information up to our eyeballs). PKM tools—once the domain of only productivity and tech enthusiasts—are now in relative high demand due to the growing cognitive burden of the information era being felt around the world.

Cognitive Load Theory considers how our brains process and learn information — it suggests that our working memory has a limited capacity. When our brain is overloaded, our ability to learn and retain information goes bye-byes and suddenly nothing makes sense and we’re staring at a wall wondering why we exist and whether or not we should just move to a bungalow in the middle of a vast jungle with no internet.

This theory suggests the consequences of the information era on our cognitive load as:

• Cognitive overload: A point of cognitive ‘shutdown’ leading to an inability to process pretty much anything at all.
• Attention span decline: Too many of us are finding it difficult to sit through a movie these days… ‘nuff said.
• Decision fatigue: Decision making becomes impaired as a result of the increased frequency and quantity of micro decisions made on a daily basis.
• Decreased creativity: Resulting from the allocating of more cognitive resources to manage excess data, hindering the ability to form creative or innovative connections between ideas.

A PKM tool is a somewhat recent idea. ‘Personal Knowledge Management’ is of course not, but in 2024 technologies have started to emerge that have a much clearer understanding of how, where and why we need to manage and organize masses of data—our bookmark folders just ain’t it anymore.

We are quite literally living in a time donned the ‘Information Age’. Information is faster, more accessible and more unreliable than ever before. Whether you’re trying to research for personal, professional or academic purposes and write blogs, papers or notes, mastering quality in the Information Age requires a deep, structured level of focus and organization. Focus and organization aren’t just virtues anymore; they’re a survival skill.

The relentless influx of information threatens to overwhelm, turning potential productivity into a chaotic whirlpool. To navigate said chaos, we must become careful curators of our thoughts, intelligence and words, transforming information overload into useful and actionable insights.

Which brings us back to one of the first innovations of the digital era, the (digital) document. All the way back in 1983 (yes — 39 years ago 🤯) Microsoft launched the first ever Microsoft Word for MS-DOS. And it wasn’t even the first of it’s kind, MicroPro International had launched WordStar prior to this back in 1978, with the earliest word processor dating back to IBM’s MT/ST in 1964.

Since then hundreds — if not thousands — of document apps followed in their wake, all trying to solve the same problem: to help people structure exponentially colossal amounts of information. Here’s a little wayback of how far we’ve come and just how fast the digital world is moving:

These tools have changed and adapted as the digital era continues to progress at incredible speed. Leading innovations today have worked to achieve the same thing for people everywhere: structured frameworks provide the scaffolding for organizing thoughts, projects, and knowledge. More recently these apps have begun to offer the interlinking of various content formats — text, images, code, and more — to transform the idea of a document into versatile command center for managing complex information ecosystems.

There’s a lot out there, but we’ve picked four strong contenders we think worthy of your consideration and put them up against each other in this Battle of the Docs. A disclaimer, we’re not literally pitting them against each other, we believe each of these tools offer unique capabilities suited to different use cases, but battle is a more fun word than comparative analysis.

Anytype

Anytype is the new kid on the block, promising a decentralized and privacy-focused approach. It’s built on a graph database, allowing for complex connections between information. This decentralized approach and nuanced block structure offer a promising alternative to mainstream tools, particularly for those wary of cloud-only solutions.

While still in development, Anytype shows potential as a powerful tool for knowledge management and personal information management. However, its relatively young age means it lacks some of the polish and feature set of its more established competitors.

Summary

Every one of these tools has their own strengths that we think are worthy of writing about. I personally love Craft, I use Airtable for my relational data type information so I don’t need anything all that fancy for documents. My favourite doc of all time, however, is my a4 notebook I keep on my desk. Depending on your use case, any one of these four could be a game-changer for you.

We need modern technology and innovations like what Notion, Coda, Craft and Anytype have to offer, particularly as our professional and personal lives change alongside technology and the internet. However, sometimes the answer to information overload and a desperate need to compartmentalise and reduce all this information we consume, is simply to consume less. Do me a favor, listen to music today instead of a podcast. Wonderful things can happen when we stop consuming and just simply enjoy existing.
