<p class="wp-block-paragraph">ScheduleCleaner 3.6 introduces several powerful upgrades focused on protecting sensitive data, standardizing schedule outputs, and making it easier for distributed teams to share licenses. This release deepens control over UDFs and Activity Codes, adds flexible output file versioning, and brings a new hosted floating license model tailored for organizations with many rotating or occasional users.</p>



<h2 class="wp-block-heading">Smarter control over UDFs and Activity Codes</h2>



<p class="wp-block-paragraph">ScheduleCleaner 3.6 expands the way you can work with User Defined Fields (UDFs) and Activity Codes by extending filters across more transformation categories.</p>



<ul class="wp-block-list">
<li><strong>Filters in the “Remove” category for UDFs and Activity Codes</strong><br>You can now apply filters when removing UDFs and Activity Codes, so you strip only what is sensitive, internal, or unnecessary while keeping the fields that matter for reporting and analysis. This makes it easier to comply with NDAs and internal data-sharing policies while still sending a schedule that “just works” for the recipient.</li>



<li><strong>Filters in the “Mask” and “Prefix/Suffix” categories</strong><br>Filters are also available when masking or renaming UDFs and Activity Codes, so you can target specific codes or fields instead of applying global changes. This allows you to hide confidential values, anonymize specific portions of the schedule, or enforce naming standards without breaking the schedule structure or downstream reporting logic.</li>
</ul>



<p class="wp-block-paragraph">These enhancements give planners more flexibility when preparing versions of the same schedule for different stakeholders, such as clients, subcontractors, or internal management.</p>



<h2 class="wp-block-heading">Change Output File version to match any P6 environment</h2>



<p class="wp-block-paragraph">Version mismatches between Primavera P6 environments are a common source of friction during schedule exchange. With ScheduleCleaner 3.6, the “Change Output File version” capability allows you to export cleaned schedules directly in the Primavera P6 schema version your recipient uses, regardless of the source file version.</p>



<p class="wp-block-paragraph">This means you can remove, mask, and standardize fields and then output the result in the exact P6 version required by your client or partner in a single workflow. The result is fewer import errors, less manual conversion work, and smoother collaboration between organizations that are not on the same P6 release.</p>



<h2 class="wp-block-heading">Hosted Floating license for flexible, shared usage</h2>



<p class="wp-block-paragraph">To better support organizations with distributed, rotating, or part‑time users, ScheduleCleaner 3.6 introduces a&nbsp;<strong>hosted floating license</strong> (network-based licensing). Instead of activating individual machines, a defined pool of concurrent users can “check out” licenses from a shared pool whenever they need the application.</p>



<p class="wp-block-paragraph">This model helps teams maximize license utilization and reduce total licensing cost by avoiding idle seats tied to specific devices. It also simplifies deployment and management for IT and PMO teams, especially when many project participants need access to ScheduleCleaner at different times or from different locations.</p>



<h2 class="wp-block-heading">Better filter behavior in other languages and quality improvements</h2>



<p class="wp-block-paragraph">For international teams, ScheduleCleaner 3.6 improves the behavior and reliability of Filters when using other supported interface languages. This makes the filtering workflow more consistent for users who work in localized environments.</p>



<p class="wp-block-paragraph">In addition, this release resolves several client-reported issues to deliver a smoother, more stable experience in everyday use. The result is a more robust tool that better supports organizations that rely on ScheduleCleaner to remove, convert, or anonymize sensitive data from XER and XML schedules before sharing.</p>

<p class="wp-block-paragraph">It’s always best to ask for the things you need at the beginning, rather than getting stuck halfway through and having to ask then for additional resources because you haven’t planned out your project properly. In fact, overlooking important project resources may cause project issues and ultimately project failure.</p>



<p class="wp-block-paragraph">There are three types of project resources that are considered essential for a project to be executed and completed on time and on budget.</p>



<p class="wp-block-paragraph">Depending on the type and scale of the project, the project resources may vary, however, there are three major resources for project that every project manager needs to plan thoroughly in order to avoid further potential problems.</p>



<p class="wp-block-paragraph"><strong>People (Work Resources)</strong></p>



<p class="wp-block-paragraph">No matter the size and complexity of the project, in order for the project tasks to be performed effectively, human resources are essential.</p>



<p class="wp-block-paragraph">Human resources are considered to have the most complex requirements than the other two types of project resources. Therefore, project managers should plan in advance and identify potential people to become part of the project team by making sure they are available and skilled for the project in question.</p>



<p class="wp-block-paragraph">Normally a project team is a group of people that is managed by a project manager. The team management part is often the hardest part of the project, especially if the manager hasn’t had to lead a team in the past.</p>



<p class="wp-block-paragraph">Managing the project team’s time and workload can be tricky too, as, usually, most of the project team members don’t work solely on one project. They often have day jobs and may be involved in other projects at the same time.</p>



<p class="wp-block-paragraph">If you, as a project manager, know what individuals you need for your project it could be a lot easier to do your resource planning, which should help you balance those peaks and troughs of availability in the team. Spend some time thinking through the different skill sets that you need and the kind of tasks that are required for the project, regardless of the project complexity and type.</p>



<p class="wp-block-paragraph">Even at this early stage, you can still get a good idea of who needs to be involved. You’ll have to work out who is needed on the project at what times, based on your project schedule. You’ll need to bring in different types of subject matter experts at different times, and each one will have to know enough about the project’s objectives to get their part done successfully.</p>



<p class="wp-block-paragraph"><strong>Capital (Cost Resources)</strong></p>



<p class="wp-block-paragraph">The second essential resource for successful project completion is – capital. As you know, all projects, regardless of their type, scale, or complexity, need money.</p>



<p class="wp-block-paragraph">The cost resources are used for many things related to the project and don’t comprise only yours and your project team members’ salaries&#8230; To be more precise, under the category of cost resources fall also all the tools and equipment that you and your team will be using during the project execution.</p>



<p class="wp-block-paragraph">Generally, managing a budget for a particular project is one of the core skills that all project managers must-have. As a project manager, you need to be confident handling finances and costs so that every phase of the project goes smoothly.</p>



<p class="wp-block-paragraph">One important aspect of this type of resource is for the project manager to talk to its project sponsors about their expectations for the money that is planned to be spent. It’s important that project sponsors have a realistic idea about how much the project will cost, and as a project manager, you can help them do that once you have undertaken some of the planning.</p>



<p class="wp-block-paragraph">If you don’t have enough finances for your project then you won’t be able to get everything done. It’s that simple: the budget funds the work and when it runs out the work has to stop. If they want the project to be completed successfully then it needs to be adequately funded.</p>



<p class="wp-block-paragraph">You’ll need to know how much money you are spending because it helps you establish whether you are on track or not. Project management software like&nbsp;<a href="https://schedulereader.com" target="_blank" rel="noreferrer noopener">Schedule Reader</a>&nbsp;will let you easily see what tasks have been completed so you can link that back to your spending and work out if you are progressing as planned.</p>



<p class="wp-block-paragraph"><strong>Material Goods (Material resources)</strong></p>



<p class="wp-block-paragraph">Projects also use up material resources that include different materials, supplies and/or items that are part of the project. Assets, or goods, vary from project to project but it’s highly likely that your project will need some kind of tangible resource. It’s normally what you use the project budget to buy.</p>



<p class="wp-block-paragraph">Examples include:</p>



<ul class="wp-block-list">
<li>Software licenses</li>



<li>Hardware like technical infrastructure such as cabling or switches for the IT equipment</li>



<li>Equipment or machinery (which you might hire for the life of the project or buy)</li>



<li>Property (again, it might be something you hire for the project such as a temporary cabin on a building site).</li>
</ul>



<p class="wp-block-paragraph">Project managers can also make use of assets that the company already has although they may have to budget for borrowing them or schedule in the right time to use them so that they don’t clash with another project. An example might be a testing lab that is used for multiple projects and that you will need to book in advance in order not to coincide with other project teams using the resource.</p>



<p class="wp-block-paragraph">This type of resource is particularly important to o be planned in advance because otherwise, you can encounter huge problems for your project. For example, if for certain tasks you will be in need of particular software elements and you don’t manage to acquire them on time, they could take weeks to ship from the manufacturer and add considerable delay to your project.</p>



<p class="wp-block-paragraph">All&nbsp;resources of project management process&nbsp;are important to get the project off the ground and successfully move it in the right direction. The more effort you put into thinking through these three types of project resources you will certainly need and start providing and requesting them far enough in advance to ensure that they are ready for you when you need them, the easier it will be for you to complete your project on time, on budget and to the required specifications.</p>

<p class="wp-block-paragraph">One of the skills that&nbsp;project managers&nbsp;need to acquire is the competence to effectively track, monitor, and control a certain project in order to ensure that it delivers on time, on budget and to the required scope – and any other quality measures that the project customer or sponsor has set.</p>



<p class="wp-block-paragraph">Project managers who obtain this quality have a greater chance to complete the project successfully and without any major&nbsp;risks&nbsp;or issues.</p>



<p class="wp-block-paragraph">The process of effectively tracking, monitoring, and controlling a project is easier with RAG reporting. Now comes the question below:<a></a></p>



<h2 class="wp-block-heading"><strong>What Does RAG Status Mean?</strong></h2>



<p class="wp-block-paragraph">In project management, RAG (RAG report, RAG status, or Delivery Confidence Assessment) is an acronym that stands for Red Amber Green and relates to project status reporting which is utilized by project managers to indicate how well a certain project is performing.</p>



<p class="wp-block-paragraph">In fact, the RAG reporting system is a popular project management method for rating status reports and it&#8217;s based on the traffic light color designations. When using RAG reporting, project managers utilize the colors red, amber (yellow), and green to signify different scale ratings.</p>



<p class="wp-block-paragraph">RAG is a shorthand for identifying the project status, but there has to be something substantive behind the shorthand.&nbsp;Many companies make up their own definitions and tolerances for what makes a project ‘Red’ so if you have these already, work within their boundaries. If you are setting up RAG for your project, or within your PMO, then think about what you want the statuses to mean for you.</p>



<h3 class="wp-block-heading"><strong>What is Green Status?</strong></h3>



<p class="wp-block-paragraph">The Greenlight of the RAG status is used to point out that the project is going well and is progressing as planned, and according to the designated time,&nbsp;budget, and&nbsp;scope.</p>



<h3 class="wp-block-heading"><strong>What is Amber Status?</strong></h3>



<p class="wp-block-paragraph">The Amber color usually indicates that there may exist potential issues and that project would need assistance in the future. In other words, the project is currently handled within the project team but the management team should be attentive.</p>



<h3 class="wp-block-heading"><strong>What is Red Status?</strong></h3>



<p class="wp-block-paragraph">The Redlight of the RAG status system suggests that problems are arising and the project team needs to resolve them in order to deliver the project successfully.</p>

<p class="wp-block-paragraph">The definitions of all three so-called lights of the RAG status, however, can be modified according to the project managers’ needs. They can add more granularity to these rules, for example:</p>



<ul class="wp-block-list">
<li><strong>Green</strong>: The project is within tolerance;</li>



<li><strong>Amber</strong>: The project budget or timescale is&nbsp;<strong>+/- 10%</strong>&nbsp;and the scope is within tolerance;</li>



<li><strong>Red</strong>: The project budget and timescale is&nbsp;<strong>+/- 10%</strong>&nbsp;or project budget or project timescale is&nbsp;<strong>+/- 15%</strong>&nbsp;or scope is carrying unplanned changes.</li>
</ul>



<p class="wp-block-paragraph">In fact, project managers can develop a categorization that they find suitable for their projects. There can be very simple or more complicated matrices that specify targets, tolerances, and breaches for different sizes and categories of projects. The most important thing is that everyone agrees that Green means that everything is going according to the plan. When it comes to Red and Amber, project managers can define a categorization by themselves or use one of the many examples online.</p>



<p class="wp-block-paragraph">In general, it doesn’t matter what definitions and categorizations you will use, as long as they determine them well and ensure that everyone on the team understands their meaning.</p>



<h2 class="wp-block-heading"><strong>What Is RAG Used For?</strong></h2>



<p class="wp-block-paragraph">The RAG&nbsp;status reporting&nbsp;is a very efficient method that is used for identifying the status of a project as it can help in more easily and quickly determining and addressing potential risks and issues.</p>



<p class="wp-block-paragraph"><strong>RAG status can be applied to:</strong></p>



<ul class="wp-block-list">
<li>The whole project</li>



<li>A workstream or strand of the project</li>



<li>A risk (or project risk exposure)</li>



<li>An issue (or cumulative issues on the project)</li>



<li>A change</li>
</ul>



<p class="wp-block-paragraph">The easiest way is to allocate a RAG status to the whole project, but on larger projects or in complex portfolios you might want to break it down and apply a RAG status to each element such as budget, scope, resourcing, or timescale. These can then be aggregated up to give you a project-level status.</p>



<h3 class="wp-block-heading"><strong>Working Out RAG</strong></h3>



<p class="wp-block-paragraph">It’s actually quite easy to work out the RAG status of your project. Once your definitions are set, all you have to do is follow them.</p>



<p class="wp-block-paragraph">Experienced project managers will also have a ‘gut feel’ for how things are going. Sometimes you just know that your project is going sideways and someone outside your immediate project team needs to know about it.&nbsp;</p>



<p class="wp-block-paragraph">For timescales, check&nbsp;<a href="https://schedulereader.com" target="_blank" rel="noreferrer noopener">Schedule Reader</a>&nbsp;to see how far adrift your original dates are from your actual dates. That will give you an idea of whether you are still in the tolerance stage for your project or not. Check your budget tracker spreadsheet for how much over the budget you are forecast to be. You can also check if you don’t already know if there are unplanned changes or major risks or issues that would cause a problem and that your sponsor and management team ought to know about. All of this informs the status of your project.</p>



<h3 class="wp-block-heading"><strong>Beyond RAG</strong></h3>



<p class="wp-block-paragraph">Sometimes you might see the acronym&nbsp;<strong>BRAG</strong>. The &#8216;B&#8217; stands for Blue.</p>



<p class="wp-block-paragraph">The Blue color in RAG reporting represents a project (or task within a project) that is completed and handed over to another responsibility.</p>



<p class="wp-block-paragraph">This can be handy when you are looking at a list of projects. It’s clearer to see what projects are in need of management attention if you can filter out the ones that are already completed.</p>



<h3 class="wp-block-heading"><strong>The Risks With RAG</strong></h3>



<p class="wp-block-paragraph">There is one major issue with RAG and it is that it has no clear call to action. In other words, marking a project with Red lights doesn’t mean that your sponsor will leap immediately into action to resolve the problem. You’re going to have to spell out in more detail exactly what you expect from them, and then make sure they do it.</p>



<p class="wp-block-paragraph">Of course, some&nbsp;project sponsors&nbsp;are totally engaged and will work all this out for themselves, but generally &#8220;raising awareness&#8221; isn’t enough: you need some action taking otherwise you can’t keep the project moving forward.</p>



<p class="wp-block-paragraph">There’s another, smaller, concern and that’s the fact that RAG doesn’t translate particularly well to Agile environments. You can use RAG if it suits you for project monitoring and control. If it doesn’t, don’t use it as Agile methods have plenty of other ways to ensure project status is monitored accurately day by day, like standups and burn down charts.</p>



<p class="wp-block-paragraph">Despite the limitations, RAG status reporting is a very useful status tool, quickly offering everyone a glimpse at where the project is at a particular moment.</p>
