Sharing my recent post about task optimization linkedin.com/pulse/workato-task-optimization-praveen-kumar-puliyadi-nagasamy-omkumar-wgndc Why did my recipe burn 667 tasks to doβ¦ nothing? That question sent me down the rabbit hole of how Workato actually counts tasks. If you pay for automation by the task, it's worth knowing exactly what you're being charged for. The short version: control flow is free. Repetition is what costs you. βοΈ What Counts as a Task 𧩠Every action step that runs successfully = 1 task π‘ Built-in utilities count too: Variables, Lists, Lookup Tables, JSON Parser, Logger, HTTP π One search returning 500 records = still just 1 task π« Failed actions don't count, but successful actions re-run by a retry do 𧩠What's Free Trigger β IF/ELSE β Repeat β Stop Job β Error Monitor Triggers, conditions, loops and skipped branches cost zero. A false IF branch actually saves tasks, because nothing inside it runs. π Where Tasks Pile Up πΉ Actions inside loops get multiplied by the record count. Move one step out of a loop over 800 records and you save 800 tasks per job. πΉ Per-record creates: 500 single creates = 500 tasks, while one bulk call can be just 1. πΉ Recipe functions: the call costs 1 task, plus everything inside the function. The parent's job history won't show the inner tasks. πΉ Wide retry blocks re-run actions that already succeeded, and each re-run counts again. πΉ Testing and reruns also consume tasks. ποΈ My Real-World Fix A daily contact sync between a CRM and QuickBooks Online was consuming ~670 tasks per run. β Paginated API pull (2 tasks per page) β one custom connector action that handles pagination internally = 1 task β A Parse JSON step on every failure β a single formula (same output) = 1 task saved per record β 329 contacts already in QBO but unmapped were failing every single day β loaded the mappings into the lookup table once Result: 667 β 7 tasks per run. Same logic, ~99% fewer tasks. π‘ My Takeaways β Look inside your loops first. That's where most of the cost is. β Formulas beat utility steps for transforms and parsing. β Bulk APIs and connector-side pagination are task multipliers in reverse. β Recurring failures are silent task leaks. Fix the data, not just the alert. β The goal isn't the lowest number. An extra task that buys reliability is worth keeping. If you're scaling integrations on Workato, audit one high-volume recipe this week. You'll likely find tasks hiding in plain sight. π Inspired by this excellent breakdown: realworldworkato.hashnode.dev/how-workato-actually-counts-tasks
How We Automated Procurement to Dispatch Across Multiple Locations Using Workato π One supply chain. Multiple locations. Disconnected systems. One integration orchestration layer β Workato! In a distributed manufacturing and retail environment, procurement, order management, manufacturing, and logistics often operate across different applications and geographical locations. The challenge wasn't just connecting applications. It was ensuring that every business event triggered the right action in the right system, at the right location, without manual intervention. Here's a step-by-step breakdown of our hybrid integration approach using Workato. πΉ Step 1: Connect the Enterprise Landscape We established hybrid connectivity between cloud and on-premise systems using Workato connectors, APIs, and the On-Prem Agent where required. Integration landscape: * ERP β Procurement and inventory * OMS β Order management and fulfillment * Manufacturing systems β Production scheduling and status * Logistics β Dispatch and shipment tracking Goal: Establish reliable, bidirectional communication without replacing existing applications. πΉ Step 2: Automate Procurement Events Configured event-driven Workato recipes to initiate procurement workflows. * Capture purchase order creation and updates from ERP. * Validate supplier, SKU, quantity, and delivery location. * Route procurement details to the appropriate systems. * Synchronize supplier acknowledgments and procurement status. Outcome: Reduced manual handoffs and improved procurement visibility. πΉ Step 3: Orchestrate Order Management Once the required procurement or inventory conditions were satisfied, Workato orchestrated the downstream order workflow. * Validate orders against inventory and fulfillment rules. * Synchronize order details with OMS. * Identify the appropriate fulfillment or manufacturing location. * Update order statuses across connected applications. Outcome: A consistent order lifecycle across systems and locations. πΉ Step 4: Trigger Manufacturing Notifications This was a critical part of the integration. Workato enabled automated communication between order management and manufacturing teams. * Detect manufacturing-ready orders. * Trigger production notifications for the assigned facility. * Share order quantities, SKUs, priority, and required dates. * Capture production acknowledgments and milestone updates. * Synchronize manufacturing status back to OMS and ERP. Outcome: Better coordination between business operations and manufacturing facilities. πΉ Step 5: Automate Dispatch Readiness Once manufacturing completion was confirmed: * Validate production completion and fulfillment conditions. * Update order readiness in OMS. * Trigger logistics and dispatch workflows. * Synchronize shipment references and dispatch confirmations. * Notify relevant stakeholders of status changes. Outcome: Faster coordination between manufacturing completion and dispatch. πΉ Step 6: Build Exception Handling and Recovery Automation without resilience only shifts operational problems from one system to another. We focused on: * Centralized error handling and notifications. * Retry mechanisms for transient failures. * Duplicate-event prevention and idempotency. * Correlation IDs for end-to-end transaction tracing. * Exception escalation when manual intervention was required. Outcome: More reliable processing with improved operational control. πΉ Step 7: Establish End-to-End Monitoring Used Workato job monitoring and integration-level tracking to improve operational visibility. Tracked key stages including: β Purchase order processing β Order synchronization β Manufacturing acknowledgment β Production completion β Dispatch confirmation β Integration failures and recovery Outcome: Better visibility into the entire procurement-to-dispatch lifecycle.
