Base Logistics Group, headquartered in the Netherlands, Logistic Boulevard 5, 4791 VC Klundert, operates the https://baselogisticsgroup.com website and the Klairy (mobile) application as essential parts of the ability to perform the multitude of logistics services (the “Service”) you may procure from us.
This Privacy Statement explains our policies regarding the collection, use, and disclosure of personal data when you:
a. use our Service and the choices you have associated with that data;
b. are interested in an employment opportunity at one of our companies and apply for a position; or
c. are employed by Base Logistics Group or one of its subsidiaries: Base Logistics, HealthLink Europe, or Special Logistic Services B.V.
By using the Service, applying for a job, or being employed at Base Logistics Group or one of its subsidiaries, you agree to the collection and use of information in accordance with this policy.
Definitions
Personal Data
Information about a living individual who can be identified from that data (or from other information in our possession or likely to come into our possession).
Usage Data
Information automatically collected, generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).
Cookies
Small pieces of data (.txt) stored on a User’s device. We distinguish functional cookies (required to operate the Klairy platform) and non-functional or analytical cookies (for statistical purposes, used for our website).
Data Controller
The person or entity determining the purposes and means of the processing of personal data.
Data Processor (or Service Provider)
A person or entity processing data on behalf of the Data Controller. For this Statement, we act as both Data Controller and, where applicable, Data Processor.
User / Data Subject
The individual using our Service and to whom the Personal Data refers.
Information Collection and Use
We collect various types of information to provide and improve our Service.
Personal Data collected may include:
- Email address
- First and last name
- Phone number
- For job applications: motivation letter and curriculum vitae
We do not use profiling techniques or automated decision-making that conflict with privacy laws.
Usage Data collected may include:
- IP address, browser type and version, pages visited, date and time of visit, time spent on pages, and unique device identifiers.
- When using mobile devices: device type, operating system, browser type, and IP address.
In daily operations, we also use limited employee data (such as name and photo) for internal purposes like email accounts, phone software, business cards, internal portals, group updates, and internal reports. By accepting this Privacy Statement, you acknowledge this use.
Cookies
Klairy application
We only use functional cookies required to operate the Klairy (mobile) application. These ensure you stay logged in while using the service.
Website
We use non-functional cookies to analyze website usage through Google Analytics. On your first visit to our website, you are informed about these cookies and asked for your consent. You can disable or remove cookies via your browser settings.
Use of Data
Base Logistics Group and its subsidiaries use collected data to:
- Provide and maintain the Service
- Notify you about changes to the Service
- Allow participation in interactive features
- Provide customer support
- Improve Service quality and security
- Offer updates and information about related services, unless you opt out
Retention of Data
We retain Personal Data only as long as necessary for the purposes stated in this Privacy Policy, and as required by law.
- Security camera images are stored for up to two (2) months (Borg 4 security level).
- Job application data are deleted within four (4) weeks after completion of the process, unless employment follows.
- Personnel file data are retained for a period no longer than two (2) years after termination, and certain fiscal records (e.g. tax declarations, ID copies) for five (5) years as required by law.
Transfer of Data
Your personal data may be transferred to and stored on servers located outside your country of residence, but always within the European Economic Area (EEA). Our primary hosting location is Microsoft Azure West Europe (Amsterdam), with a failover location in Azure North Europe (Dublin). By providing your data, you acknowledge and consent to its processing in these locations under appropriate safeguards.
Disclosure of Data
Base Logistics Group may disclose Personal Data when required by law or in good faith for the following purposes:
- To comply with legal obligations or regulatory requirements
- To protect the rights, property, or interests of Base Logistics Group
- To prevent or investigate potential wrongdoing or fraud
- To ensure the safety of users or the public
- To defend against legal claims or liability
- To establish, exercise, or defend Base Logistics Group’s legal rights in judicial, administrative, or arbitration proceedings
Any disclosure will be limited to what is strictly necessary for the intended purpose and carried out under appropriate safeguards.
Security of Data
We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction. These measures are designed to ensure a level of security appropriate to the risk.
However, no method of electronic transmission or storage is completely secure. While we strive to apply industry best practices and maintain maximum protection, we cannot guarantee absolute security.

Service Providers

Livestream and Media Use
Base Logistics Group may, upon invitation, use secure cloud-based platforms for videotelephony, teleconferencing, livestreaming, or other forms of remote communication. These sessions may include AI-based transcription services to improve accessibility and documentation.
Recording, downloading, broadcasting, or redistributing any content without prior authorization is strictly prohibited. Unauthorized rebroadcasts or sharing on platforms such as Facebook, Instagram, Vimeo, TikTok, Snapchat, Twitter, and YouTube may constitute copyright infringement and can lead to civil or criminal liability under Dutch law and applicable agreements.
Any recordings or transcripts generated during these sessions are for internal use only. Illegal use of recordings or transcripts is strictly prohibited and may violate privacy and copyright laws. Such material may not, under any circumstances, be used as evidence in legal proceedings without explicit written consent from Base Logistics Group.

Our Service may contain links to external sites (e.g. carrier tracking). We are not responsible for their content or privacy practices. Please review their Privacy Policies when visiting those sites.
Children’s privacy
Our Service is intended for business users and not for individuals under 16 years of age. If you believe a minor has provided us data, please contact us. We will remove such data promptly.
