Clienta ('we', 'us', 'our') is a product of HeloLinks, an IT company based in the Netherlands (helolinks.com). HeloLinks is responsible for this platform and respects your privacy. This privacy policy informs you about how we handle your personal data when you visit our website and use our services.

This privacy policy applies to all users of the Clienta platform, including business owners and their customers who book appointments.

2. What data we collect

We collect the following categories of personal data:

• Account data: name, email address, business name
• Business data: address, phone number, category, opening hours
• Booking data: customer name, customer email, date and time of appointments
• Payment data: payment history (via Stripe - we do not store credit card details)
• Technical data: IP address, browser type, device information

3. How we use your data

We use your data for the following purposes:

• Providing our booking services
• Sending appointment confirmations and reminders
• Processing payments
• Improving our services

4. Sharing with third parties

We only share your data with the following parties:

• Stripe - Payment processing via Stripe Connect (international payment provider). Clienta charges 0% commission, Stripe charges variable transaction fees. Stripe Connect is currently in beta testing.
• Google - Calendar synchronization (if you connect your Google account)
• Microsoft - Calendar synchronization (if you connect your Outlook/Microsoft account)

5. Cookies

We use the following cookies:

• Functional cookies: necessary for the website to function (login session)
• We do not use tracking cookies or third-party analytics

6. Data retention

We retain your data as long as your account is active or as needed to provide our services. Booking data is kept for 2 years for administrative purposes. You can request deletion of your data at any time.

7. Your rights (GDPR)

Under GDPR, you have the following rights:

• Right to access your personal data
• Right to rectification of incorrect data
• Right to erasure ('right to be forgotten')
• Right to restriction of processing
• Right to data portability

8. Protection of your data

We take the security of your personal data seriously and have implemented appropriate technical and organizational measures:

• All data is transmitted encrypted
• Passwords are stored securely (never in plain text)
• Regular security updates and monitoring
• EU-based servers (GDPR-compliant)

In case of a data breach, we will notify the Dutch Data Protection Authority within 72 hours and inform affected parties in accordance with GDPR.

9. Google Calendar Integration

Our application offers the ability to synchronize appointments with Google Calendar. When this feature is enabled, appointments created in Clienta will also be visible in your Google Calendar.

OAuth Scopes we use

• https://www.googleapis.com/auth/calendar - for creating and managing appointments in your calendar
• https://www.googleapis.com/auth/userinfo.email - for identifying your account

Stored data

• Email address of your Google account
• Access token, refresh token, token type, expiration (for authentication)

Usage

This data is used exclusively to synchronize appointments to your Google Calendar. Tokens are stored securely and never shared with third parties.

Removal

You can disconnect the integration at any time via your dashboard (Settings → Calendar Synchronization). All stored tokens will be immediately deleted.

10. Microsoft Outlook Integration

Our application offers the ability to synchronize appointments with Microsoft Outlook/Office 365 Calendar. When this feature is enabled, appointments created in Clienta will also be visible in your Outlook Calendar.

OAuth Scopes we use

• Calendars.ReadWrite - for creating and managing appointments in your calendar
• User.Read - for identifying your account
• offline_access - for automatically refreshing access

Stored data

• Email address of your Microsoft account
• Access token, refresh token, expiration (for authentication)

Usage

This data is used exclusively to synchronize appointments to your Outlook Calendar. Tokens are stored securely and never shared with third parties.

Removal

You can disconnect the integration at any time via your dashboard (Settings → Calendar Synchronization). All stored tokens will be immediately deleted.
