Case study

LeadSense was developed to help Segem farms manage the process of tracking leads for their sales team. The app allows the users to create new leads and track activities engaged to convert them to customers. The process of approving the leads has been automated to enhance efficiency and productivity of the sales team.

Solution

LeadSense automates the process of creating new leads and assigning them to the relevant salespeople. New leads have to be approved by the supervisor before the assigned salesperson engages the lead until the lead is converted to a contact. The activities are also captured by the system for transparency. This was developed using Power Apps and SharePoint.

How we built it

The system follows the following structure:

  1. A user creates a new lead using the Power Apps form providing the name, contact info, product and lead valuation. This information is captured in a SharePoint list.
  2. An email notification is then sent to the supervisor who is supposed to approve a lead before any further engagement with the lead is permitted. The supervisor may approve, reject or return a lead approval request providing information on the decision in Power Apps form. Approving a lead will allow the user to continue engaging the lead. A returned lead will allow the user to resubmit the lead again with the recommended changes. A rejected lead will not be featured on the salesperson dashboard.
  3. The salesperson will record all the activities they engage in to convert the lead through the power apps interface. This information will be stored in SharePoint list.
  4. The salesperson will then initiate the process of converting the lead to a customer by submitting a lead closure request through the apps interface. This will trigger an email notification to the manager who will review the lead and approve, return or reject the request with appropriate reasons. This response will be sent to the salesperson via email for appropriate action.

Challenges faced

-The limited customization available for the power apps controls and user interface elements limited our ability to meet the design of the app to pixel perfection. We plan to use PCF components in future to build custom components that match the design files.

What Next

  • We intend to make the app offline and mobile friendly first to improve its overall accessibility and usefulness in the field as most of the salesperson may not have access to a reliable internet connection in the rural areas where Segem farm is situated.
  • We also plan to develop the commissions modules of the app to allow the sales team to track their commissions as they convert the leads to contacts.
  • A dashboard with the relevant statistics will also be developed to provide insight to the users for decision making.
