About the Event Registry
The Event Registry helps ASU gather information needed in order to plan for and support safe, compliant in-person events. It connects event planners with safety collaborators and approval teams for necessary permits and approvals.
Events That Must Be Registered
- All in-person events on university property
- Off-campus events related to university business or funded by the university
List of Exemptions
(Some academic, performing, athletic, and departmental events are exempt and do not need to be registered)
- Academic classes
- Approved activities as part of a course, field trip, or other academic instruction
- Student recitals or performances organized by an academic unit
- Sun Devil athletics team practices and competitions
- Sun Devil Fitness and Wellness programming and activities
- Departmental or interdepartmental meetings held in conference rooms, meeting rooms, or classrooms available for department use, unless members of the general public are invited to attend.
Timeline for submitting events
Events are required to be registered a minimum of 14 days in advance.
- Register events as early as possible during the planning process
- Some permits require 60 or 90 days advanced notice
Important Note
- Submitting an Event Registry form initiates safety and compliance reviews.
- Event coordinators remain responsible for securing all other required items, including:
- Room reservations
- Contracts and rental agreements
- Permits and other approvals
- Vendor Certificate of Insurance
