1.1 Controller
The controller responsible is the ProVeg entity with which you have a relationship, for example by visiting its website, signing up for an event, or applying for a position.
1.2 Data Retention
Unless otherwise specified, personal data is deleted when it is no longer required for the stated purposes and no legal retention obligations apply. Legal retention periods generally derive from tax and accounting laws, which in many jurisdictions require certain business records, contracts, and transaction data to be kept for periods up to 10 years and longer. Such periods ensure that accounting obligations, audits, and potential tax authority reviews can be fulfilled.
1.3 Data Recipients
ProVeg is an international group with several entities that may need to access your data for legitimate business and organizational purposes. Within the group, access is limited to those who need it. In addition, we rely on trusted service providers and partners who support our activities, such as hosting providers, IT support, payment processors, law firms, consultancies, banks, auditors, and marketing agencies. Where necessary, we also share data with public authorities, courts, and regulators in accordance with legal requirements. Furthermore, where you receive a grant, we may share your personal information related to your grant application with major donors to the extent necessary for grant administration, funding decisions, and related reporting purposes. All disclosures comply with applicable data protection law and appropriate safeguards.
1.4 Data Transfers
ProVeg is an international group that works with affiliates, partners, and service providers around the world. As a result, your personal data may be processed not only in the country where it was originally collected, but also in other jurisdictions including, for example, the European Economic Area, the United Kingdom, the United States, Africa, Asia and additional locations where we or our trusted providers operate. Because data protection laws vary by country, certain jurisdictions restrict how personal data may move beyond their borders.
To address this, we implement appropriate safeguards to ensure a consistent level of protection wherever your data is processed. Where a competent authority has recognized another jurisdiction as providing adequate protection, we rely on that adequacy decision. 1.5 Your Rights

You may request rectification where data is inaccurate, erasure where it is no longer needed or processed unlawfully, and restriction of processing in certain circumstances. You may also have the right to data portability, meaning you can obtain a copy of your data in a structured, commonly used, and machine-readable format and transfer it to another controller.
Where processing is based on our legitimate interests, you may have the right to object, especially to processing for direct marketing purposes. You may also withdraw consent at any time with effect for the future where processing is based on consent. 2.1 Website and App Users (Veggie Challenge, ProVeg Price Study)
Description of data processing

Usage data and server logs

Testimonials
We offer the opportunity to submit a testimonial, which will be published on our website. The basis for processing your personal data is your consent. We will delete your personal data as soon as we remove the testimonial or if you withdraw your consent, unless legal retention obligations apply.
Third-party content and embedded media

We also process your responses within the Veggie Challenge App (e.g., challenge questions, opinions, performance assessments) to personalize your experience, calculate environmental impact, analyze participation trends, improve our services, and support our mission of promoting plant-based living.
Optional group channels (for example, messaging platforms) may be used to facilitate interaction; their use is voluntary. If prize draws are offered, names and email addresses may be used to contact winners.
Our legal bases for data processing include performance of a contract (providing the Veggie Challenge services), your consent (e.g., for receiving newsletters, joining teams), and our legitimate interests (ensuring proper app functioning, analyzing usage, improving services). Processing of donations
We collect and process donor data such as name, contact details, payment information, and donation history to issue confirmations and receipts and to fulfill accounting and tax obligations. Processing is necessary to perform the donation contract and to comply with financial regulations.
Donation campaigns
Supporters can create fundraising campaigns. To do so, we process data such as name, email address, and campaign details. You may upload images or videos (for example, links to videos), which will be published with the campaign. By uploading, you confirm that you have the necessary rights and consents. Processing is based on your consent and, where applicable, contractual necessity.
Membership administration
Personal details such as your name, address, email address, role, biographical information (where provided), and contact information are processed to review applications, maintain membership records, and provide member services. The legal basis is the membership contract and our legitimate interest in managing our network.
Partnership administration
We process personal data of contact persons of partners (such as name, contact details, and partnership-related information) to assess eligibility, conclude and manage partnership agreements, and communicate with partners. Partner offers (e.g. discounts for ProVeg members)may be promoted in member communications. Processing is based on contractual necessity and our legitimate interest
Volunteer engagement
We run a volunteer network to engage skilled individuals in meaningful, remote or flexible roles across projects such as nutrition, design, research, law, and IT. Volunteers register via an online form, providing details such as skills, availability, and experience. We use this information to assess suitability, match opportunities, and stay in contact when appropriate roles arise. Processing is based on your consent when registering and our legitimate interest in managing volunteer programs. Volunteer data is retained while you remain an active candidate; after inactivity (for example, one year) data is deleted or anonymized unless you consent to longer retention.
Supporter communications
We process your name and contact details to provide updates, newsletters, marketing materials, press releases, and satisfaction surveys. Promotional use of contributions

Grants
For grants, we process applicant and organizational details such as names, roles, contact information, project descriptions, budgets, financial records, and banking data. Successful applications may require identity verification and reporting data to ensure proper use of funds. V-Label Licenses
In order to manage your licensing agreement with us, we may process your personal data, including your name, email address, phone number, job title, and information related to your company’s license status. V-Label Events / Awards
In addition, we may process your personal data in connection with related V-Label activities, such as webinars and the V-Label Awards (including applications, public voting, and award ceremonies), online or in-person events that support community engagement and brand promotion. Depending on the activity, the categories of data processed may include your name, business email address, organization, and participation-related information (for example, event registration details or information submitted as part of an award application). Public voters in the V-Label Awards may be asked to provide an email for verification to ensure the integrity of the voting process.

(Virtual) Events and audiovisual content
We may process your personal data for seminars, webinars, training sessions, workshops or other events (“events”) that you would like to attend organized by ProVeg or another organizing company.
We may process registration details to manage attendance, provide information, and handle logistics where needed. During events (in person or virtual), we may take photos or videos (including audio). Group images may be published based on our legitimate interests; individual or identifiable content requires consent. Such material may be used (e.g. for marketing purposes) on our websites, social media, newsletters or in publications.
For online events, in addition to your participant details (such as your name and email address) and the information described above, we also process meeting metadata (e.g. time and duration) as well as device and software information.
These activities also apply to individuals involved in delivering or supporting our events. This may include external speakers invited for events, as well as coaches or trainers who support our programs.
Competitions and challenges
We process registration and participation data to deliver program content and track progress. Optional group channels (for example, messaging platforms) may be used to facilitate interaction; their use is voluntary. Advocacy activities
We may process your personal data in connection with our campaigns and advocacy work, including accreditation for United Nations (UN) events (e.g., COP, SBs), collecting endorsements for joint initiatives (e.g., petitions, public letters or declarations), organizing and scheduling advocacy meetings with policymakers and stakeholders in the EU and internationally, and managing advisory groups such as our Youth Board.
The personal data processed may include name, contact details (e.g., email address, phone number), role or position, organization, and, where required for specific purposes, additional details such as identification documents. We may also process meeting attendance records, views or preferences shared in meetings, and audiovisual content from events where prior consent has been obtained.

Platform processing (joint controllership)
We operate pages on Bluesky, Facebook, Instagram, LinkedIn, Medium, Substack, Pinterest, Threads, TikTok, X (formerly Twitter), and YouTube. We act as joint controllers with the providers of these platforms. These providers determine much of the processing, and we can only influence this to a limited extent. You can contact us if you would like to receive information about the essence of the agreement in place with the provider. See section 1.5 of this Privacy Policy for contact details.
Content and interactions
Any content you post (such as comments, likes, images) is published by the platform. We may engage with such content and remove unlawful or inappropriate material, including hateful comments and spam, but otherwise do not process it further.
Requests and communication
If you contact us via a platform, we may invite you to switch to more secure channels.
Marketing via social media
We use platform tools to run campaigns, build audiences, and measure effectiveness. Depending on your provider settings, you may see our advertising on and off the platform. Recruitment through social media
Vacancies may be posted or applications received via platforms. In such cases, the controller is the ProVeg entity that posted the vacancy, although applications may be considered by multiple ProVeg entities. For more detail, see section 2.7 of this Privacy Policy.
Provider practices
Social media providers may use tracking and profiling technologies for analytics and targeted advertising, whether or not you hold an account. These practices are beyond our control.
2.7 Job Applicants
Description of data processing
We may process your personal data, which we receive directly from you or via publicly accessible sources (e.g., professional networks on the Internet) or data received from third parties (e.g., personnel service providers, universities, employment/recruitment agencies, referrals, tax and social insurance authorities).
We may process your personal data in particular for the following purposes (and legal grounds):
- Evaluate applications and conduct interviews – (pre)contractual

- Communicate about recruitment and reimburse expenses – (pre)contractual
- Consider candidates for future opportunities (talent pools) – consent

Application process
We process applicant data such as CVs, cover letters, contact details, references, and qualifications to evaluate suitability for vacancies, organize interviews, and manage communication. Processing is based on contractual necessity to take steps at your request prior to entering into a contract.
Controllers
The controller is normally the ProVeg entity named in the vacancy. However, where a vacancy is advertised for multiple entities or for the group as a whole, your application may be considered by several ProVeg entities.
Talent pools
With your consent, we may retain your application for future opportunities. You can withdraw this consent at any time.
Retention
Applicant data is generally deleted after six months unless legal obligations or your consent for longer retention apply.
3.1 Obligation to Provide Data
Providing data is generally voluntary but required for certain services such as contact forms, membership, or donations. Mandatory fields are marked; without them, services cannot be provided. If optional data is not provided, some services may not be available in the same form or to the same extent.
3.2 Changes to this Policy
We may update this Privacy Policy from time to time. The version and date will always be indicated.
This Privacy Policy Notice is available in several languages. In case of inconsistencies, the English version shall prevail.
