The Challenge
In 2021, Gearset’s leadership team decided to formalise and scale its IT operations. At the time, the company managed its Google Workspace environment directly, without any specialised support.
Gearset’s newly formed IT team aimed to derive more value out of their Google Workspace instance. They needed a Google Workspace partner to help them achieve this, so it was integral they found a partner who could:
- Navigate the landscape of Single Sign On (SSO): Faced with a saturated market, Gearset was weighing up which SSO application would best reduce the attack surface and simplify user access management.
- Provide expertise on AI tooling: To enable staff to securely innovate quicker and speed up the completion of tasks, Gearset’s IT team wanted to implement a user-friendly AI platform.
- Support with Data Loss Prevention (DLP): Preventing the unauthorised sharing of sensitive information was a non-negotiable pillar of their security strategy.
- Identify Security Enhancements: For a security-first company, Gearset required an independent assessment of their current controls and expert recommendations.
- Advise across the entire Google Workspace ecosystem: On a mission to empower staff with the technology to enhance their way of working, Gearset wanted a proactive partner who could consistently share best practices, provide techniques on using new features and collaborate on upcoming releases that teams would find most useful.

Over the course of this multi-year partnership, Devoteam’s Google Workspace experts have guided and supported Gearset across a range of transformative initiatives.
To address the core challenges Gearset faced, Devoteam:
- Optimised the value of Google Workspace licenses: Devoteam guided Gearset to leverage the native applications already included in their Google Workspace license. By identifying in-built solutions to replace redundant third-party tools, Gearset consolidated their tech stack and reduced technical debt.
- Simplified DLP: From the start of Gearset’s DLP project, Devoteam’s experts worked collaboratively to efficiently implement sensitivity labelling in Gmail.
Devoteam’s experts worked alongside us throughout the project and with their help, we achieved what could’ve taken 6 months in just 2 months, saving us 2/3 of the time. Working with professionals who’ve trodden the Google path many times makes all the difference. Our DLP protocols have improved both accuracy and enforcement of our internal security policies as well as supporting us in ISO 27001:2022.

- Bolstered security measures: Regular security audits are conducted by Devoteam’s Google Workspace consultants, surfacing which newly available controls Gearset should activate and recommending a series of actionable steps to apply to enhance their security posture.

1. Compliance Checks: After understanding the internal compliance requirements, Devoteam prepared documentation outlining how the architecture of Gemini satisfies the ‘Zero Trust Boundary’.
2. Bespoke Use Case Identification: Next, both teams collaborated on the high-value tasks that staff from every business unit could focus on.
3. 6-week adoption program: Devoteam’s expert led a tailored adoption program, allowing staff to workshop ideas, receive training, and become AI champions.
