We’re looking for a highly organised Operations Administrator to support our busy operations team. This is a key role ensuring smooth coordination between supply chain, production, and internal departments, keeping our ERP system and documentation accurate, up to date, and reliable.

The Role

As an Operations Administrator, you’ll be at the heart of our operational processes, ensuring everything runs efficiently behind the scenes. You’ll take responsibility for ERP data accuracy, supplier communication, and the integrity of all purchase and stock records.

Key Responsibilities

  • Create and process purchase orders monthly, ensuring all data is correctly entered and maintained in the ERP system.
  • Communicate weekly with suppliers to confirm and update delivery schedules, reflecting all changes in the ERP.
  • Book inbound deliveries promptly into the ERP system on the day of receipt to maintain real-time stock accuracy.
  • Verify goods received against purchase orders and resolve discrepancies swiftly and accurately.
  • Maintain and organise all delivery notes, invoices, and purchase records for full traceability and compliance.
  • Manage product returns, ensuring the correct documentation is completed and tracked to resolution.
  • Support the operations team with data reporting, record keeping, and general administrative tasks.
  • Order and maintain office consumables and shared supplies to support smooth daily operations.

Essential Skills & Experience

  • Strong ERP system experience (such as SAP, Sage, or similar) able to enter, track, and manage complex data accurately.
  • Advanced Microsoft Excel skills including use of formulas, data validation, and spreadsheet management for reporting and tracking.
  • Previous experience in an operations, production, logistics, or supply chain administrative role.
  • Excellent organisational skills and attention to detail.
  • Clear written and verbal communication, with confidence liaising across departments and suppliers.
  • Ability to prioritise tasks and manage deadlines effectively.
