What to Expect During Implementation and Setup

This document outlines what you can expect during implementation and setup, including the scope of services, how we support you, and your role in completing key milestones.

Key Objectives

  • Equip your team with the knowledge and tools to configure your CRM, launch your IDX website, and set up lead communication systems

  • Guide your team through each stage of implementation
  • Provide structured support to help you stay on track

Services Included

As part of the implementation and setup, you will have access to a project management tool with structured milestones, expert-led consultations, and support materials to help you drive your implementation forward. Our team will be available to provide guidance, answer questions, and offer direction throughout the process.

Project Coordination

You’ll work with a dedicated Project Coordinator who will:

  • Introduce you to our project management tool (Sero) with your tailored implementation project plan
  • Help you prioritize implementation tasks based on your goals and team structure
  • Be available for questions or troubleshooting throughout your implementation period
  • Offer reminders and recommendations to help keep your project moving

 

Project Calls

You will be invited to several scheduled support calls designed to guide your progress:

  • Discovery Call
    • Align your goals and gather important business details to tailor your  implementation and set up a project plan
  • Sierra Orientation Call
    • Walk through your Project Plan and the Sero tool so you can confidently manage your next steps and stay on track
  • Website Consultation Call (optional)
    • Discuss your site layout, design preferences, and explore available customization options
  • Website Review Call
    • Review your development website, submit your final edits, and prepare for your website launch

 

MLS Compliance and IDX Approval

To publish property listings on your Sierra website, you must receive approval from your MLS (Multiple Listing Service) to activate IDX (Internet Data Exchange) capabilities. IDX approval allows your website to display property data provided by your MLS.

Sierra’s team will guide you through this process by:

  • Identifying the MLS board(s) associated with your account
  • Providing you with the specific instructions and forms required for each MLS
  • Answering questions about how to complete and submit your paperwork

 

You are responsible for submitting the completed paperwork to your MLS for review and approval. Once approved, your website will begin displaying active MLS listings that match your market area.

To avoid delays, we recommend completing this step as early as possible during your onboarding journey.

 

IDX Website Setup Support

Our team will guide you as you:

  • Confirm your chosen Sierra website template
  • Submit your brand logos, colors, and images for us to apply to your website
  • Add content such as Community Pages, Blog Posts, and Buyer and Seller-focused pages
  • Use our training resources to optimize your site for local SEO
  • Finalize your navigation structure, About page, Contact page, and search features

 

What Our Team Sets Up for You

Once you’ve submitted your content and brand assets, our team will configure the following:

  • Up to 10 Community Pages (available to Core and Growth clients)
  • 24 default Content Pages
    • 9 Buyer-focused pages
      • Which include: Buyers, Mortgage Calculator, Mortgage Pre-Approval, First Time Buyer, Making an Offer, What Are Closing Costs, Escrow: Now What (not available for Canadian sites), Financial Terms Glossary, and Personalized Home Search
    • 6 Seller-focused pages
      • Sellers, Pricing Your Home, Marketing Your Home, Showing Your Home, Adding Value, Free Market Analysis
    • 1 Featured Listings page
    • 1 Page Not Found
    • 1 About page
    • 1 Contact page
    • 1 Thank You page
    • 4 Legal Pages and Sitemaps

You are responsible for providing assets, submitting feedback, and completing edits using the tools and documentation we provide. We will clarify platform capabilities and offer recommendations when needed.

Your Sierra Development Website

Your development website gives you an early preview of what your live website will look like. It’s a working version of your site that allows you to see how your branding, content, and layout come together before launch.

You’ll use your development website to:

  • Get a head start on adding or transferring content
  • Make minor updates, such as updating images and site colors
  • Review the structure and user experience of your site
  • Submit feedback for your two rounds of pre-launch edits

 

Your development website is a valuable opportunity to review your setup and prepare for a smooth launch. Once the final changes are made, the site will go live and become fully accessible to the public.

 

Website Edits Before Launch

You will receive support through two structured edit rounds:

  • Round 1

    • We provide access to your Development Website and a review form
    • You submit your edits, and our team will make updates based on your feedback and within the platform functionality 
  • Round 2

    • You will have one final opportunity to request changes during your Website Review Call

 

If additional edits are needed beyond these two rounds, we can accommodate them at our standard hourly rate. We will always confirm pricing before work begins.

Website Launch

Once you approve your website, our team will launch it for you. After launch, you will be responsible for managing and updating your website using the tools and resources provided.

You will be guided through the following:

DNS and Domain Setup at Website Launch

  • As part of launching your new website, you’ll need to update your domain settings so your web address points to your new Sierra site. This process is called updating your DNS (Domain Name System), and it’s essential for making your website publicly accessible.
  • Here’s how we guide you through this step:
    • We identify who owns your domain and where it was purchased
      Common registrars include GoDaddy, Google Domains, and Namecheap.
    • We check if you can grant us delegate access
      • If delegate access is possible, we’ll either send a request through the registrar or provide step-by-step instructions for granting us access.
      • If delegate access isn’t available, you’ll have two options:
        • Update the nameservers yourself (we’ll send you the exact instructions), or
        • Share login credentials with us so we can make the update on your behalf
  • Once access is confirmed or you choose to make the update
    • We coordinate with our team to begin the launch process
    • If you’re making the change yourself, we’ll send you the nameservers the next business day
    • Once the nameservers are updated, it may take 24 to 48 hours for your website to appear live under your domain (this is called propagation)

 

These steps ensure your domain is correctly connected to your Sierra website. Without completing this process, your new website will not be visible to the public.

 

Lead Communication Tools Setup

Sierra Dialer

You will be guided through the following:

  • Completing required regulatory verification steps
  • Completing your Dialer Business Profile
  • Acquiring new numbers or porting numbers from a previous platform (if applicable)
  • Enabling CallRep to help reduce “Spam Likely” call tags

 

Email Connection

You will receive instructions and support to connect your email accounts to Sierra’s CRM for lead communications

 

CRM Configuration Support

You will receive direction and training on how to configure your CRM, including:

  • Lead Routing Rules
  • Action Plans (automated and traditional)
  • Drip Campaigns
  • Contact Templates for Text and Email
  • Smart Filters, Lead Tags, and Lead Ponds
  • Global Site Settings
  • User Roles, Permissions, and Notification Settings

 

You will use training materials and scheduled calls to complete these configurations at your own pace.

Mobile App Setup

Our team will guide you through downloading and using the Sierra Mobile App and provide best practices for managing your leads on the go.

 

Training and Self-Service Resources

Throughout implementation and setup, you’ll also have access to self-paced resources, including:

  • Video tutorials and walkthroughs
  • Help Center articles
  • Suggested learning paths for Admins, Agents, and Managers

 

Business Verification for Voice and Text Features

To activate texting and voice services, your business must submit an EIN verification letter, such as IRS Form SS-4 or 147c. 

Federal regulations and industry guidelines require this verification to ensure your communications remain compliant with the Telephone Consumer Protection Act (TCPA). It confirms that your messages are being sent from a legitimate business, reducing the risk of spam labels and helping protect both your brand and your contacts from unwanted or unlawful outreach.

Timelines

  • Brand and Campaign approval from our third-party provider typically takes 4 to 6 weeks
  • While you wait, you can:
    • Make and receive calls from your Sierra Dialer number(s)
    • Use the mobile app
    • Build CRM workflows and automations

 

Texting and text-based Action Plans will become available once your Brand and Campaign are approved.

How to Avoid Delays

  • Submit your EIN or CBN to your Project Coordinator early
  • Ensure the information you enter in your Dialer Business Profile matches your EIN or CBN exactly

 

Porting Numbers

  • Porting from Follow Up Boss typically takes 4 to 5 business days
  • Porting from other platforms typically takes 3 to 5 weeks
  • Brand and Campaign approval are still required even when porting an existing number

 

What’s Not Included

The following services are not part of the standard implementation package:

  • Custom development or features beyond Sierra’s standard platform
  • Branding or graphic design services beyond your two rounds of edits
  • Ongoing website content updates or post-launch management

 

If you are interested in extended services, we are happy to discuss those options with you.

Your Role in a Successful Launch

A successful implementation depends on you! Clients who stay on track typically:

  • Regularly log into Sero (our project management tool) to monitor tasks and next steps
  • Submit content, feedback, and required documentation promptly
  • Join scheduled calls and come prepared to make decisions
  • Ask questions and reach out when support is needed
