The Challenge
MBA Group is a leading provider of high-volume print and digital communications, trusted by some of the UK’s most recognisable brands across finance, retail, utilities and other highly regulated sectors. For over four decades, MBA has combined creativity, compliance, and data-led precision to deliver customer communications at scale across multichannel solutions.
As MBA continues its rapid growth, there is an opportunity and necessity to improve onboarding processes, and with the rapid growth over the last 5 years there is even more emphasis on the need to onboard efficiently. Clients increasingly value visible transformation and optimisation during migration, and MBA is focused on meeting these expectations with the implementation of AI-driven efficiencies to enhance efficiency, accuracy, compliance, and data security.
The Opportunity
MBA’s onboarding process involves analysing and transforming thousands of customer document
templates – ensuring every communication aligns perfectly with brand and regulatory standards.
Historically, this was a manual, time-intensive process handled by the Business Analyst (BA) team.
By reimagining this workflow with AI, MBA saw an opportunity to:
- Accelerate onboarding from months to days.
- Enhance accuracy and consistency across thousands of templates.
- Elevate analysts’ roles from manual extraction to value-added design, quality, and innovation.
- Increase client satisfaction through faster project delivery and visible digital transformation.
The Solution
Partnering with Devoteam, an AWS Premier Partner, through its ADAPT programme, MBA Group
launched a Generative AI-powered Proof of Value (PoV) designed to revolutionise client onboarding.
The solution automatically ingests and analyses PDF templates—extracting, classifying, and
organising key content elements into a structured library. Key capabilities included:
- Paragraph analysis & classification: Detecting headers, footers, signatures, and variable data fields.
- Brand capture: Recognising fonts, colours, and layouts to maintain brand consistency.
- Image repository creation: Cataloguing imagery, placements, and dimensions.
- Variable indexing: Detecting placeholders and embedded variables across templates.
- Master template detection: Identifying core template structures from diverse document sets.
The Methodology
Following Devoteam’s ADAPT framework, the PoV was delivered through rapid, collaborative
sprints:
- Discovery & Refinement: Defining scope, success metrics, and initial design.
- Setup & Rapid Prototyping: Iterative GenAI development and model refinement.
- Testing & Feedback: Validation by MBA’s BA team against historical results.
- Production Roadmap: Confirming success metrics and defining scale-up strategy.
The Results
The Proof of Value delivered exceptional results:
- Time savings: Template analysis reduced from multiple months to just hours.
- Accuracy gains: Improved precision and reduced human error.
- Operational uplift: BA team capacity redirected toward strategy, innovation, and QA.
Next Steps
Following the PoV’s success, MBA Group and Devoteam are now exploring the next phase – scaling the solution and building on our successes with enhanced capabilities.
The production roadmap will introduce asynchronous parallel processing for even greater speed
and integrate the solution within MBA’s broader document management ecosystem.
