When your boss is struggling to swing a plastic sword, hierarchies suddenly matter a lot less. ▪️ They give people permission to behave differently. Psychologists call it "enclothed cognition": change the environment and symbols around someone, and their behaviour shifts too. You get to know colleagues in a completely different way. ▪️ Unusual shared experiences stick. Our brains remember them far better than another meeting in a conference room. ▪️ A theme turns the retreat into a story. One thread tying the location, activities, food, workshops, and swag together. Makes it easier to understand, consume and plan. Themes can be playful (e.g. Wild West, Survival Camp) or serious (e.g. AI Immersion, Innovation Lab, Creative Studio). And the good thing? They don't need a bigger budget. Just a good idea. 😊

4 days NGO retreat. 95+ people from all over the world. 1 massive storm over Portugal. Here's how it went. When the storm hits during a 4-day, 100-person NGO offsite — you don't cancel. You adapt. This was the reality of a recent international NGO offsite I was hired to co-led with Lisa Lohmann from LáFora. The logistics alone were relentless: → Groups splitting across 4 different locations simultaneously in the morning, swapping in the afternoon → Meeting room layout changes throughout the day → Dinners across 4 separate restaurants in downtown, starting and finishing at the exact same time → Key outdoor activities that absolutely had to happen — storm or no storm → A private concert with an international artist woven into the agenda → Constant bridging between the client, the guests, and a 5-star hotel team through last-minute changes We planned everything to the finest detail for months. And then the storm arrived. What I've learned after co-hosting 30+ offsites and retreats is that there's always that 5% you simply can't control. You can't plan your way out of uncertainty — but you can be so prepared and calm that when it hits, having plan B, C, and D ready, you hold the space without anyone noticing. Almost as if on cue, the weather opened up exactly when we needed it. Every outdoor moment happened. The concert was a highlight. The entire agenda was executed seamlessly. The group left energised. The best events are the ones where guests never feel the effort behind them. Where everything just flows. Where the storm happened — but nobody had to worry about it. "Instead of 'that's not possible,' their response was always 'yes, let's figure it out.' They held everything together behind the scenes so our team and guests could fully focus on the experience itself." That's it. That's the whole job. That's the standard I hold myself to — and it's so fulfilling when you have a great client whose standards couldn't match better. 400€. That was the cost for an all-inclusive 7 day retreat we offered 10 years ago. On our first retreats, we didn’t have the budget to make them fancy. We rented a few rooms in a small, unknown venue in Portugal. We hiked along cliffs, meditated on a quiet hilltop, visited local initiatives, sat around bonfires and cooked dinner together. It’s called “𝗦𝗲𝗲𝗱 & 𝗦𝗼𝗶𝗹.” 🌱🪴 Purpose: Capture insight and turn it into forward movement. Reflect on collaboration and plant ideas for the future of the team and company. How it works: Each person is invited to write down: 🌱 The Seed - One bold idea, insight, or question they’re taking away. 🪴 The Soil - What they personally need (or commit to doing) to help that seed grow - could be asking for support, courage, teamwork, or a next step. Read This Before You Regret It. ✅ Where you CAN save: ▪️ Swag: One useful item is worth much more than many useless ones. ▪️ Fancy activities: Walks, thoughtful workshops and boardgames are great - and not expensive. ▪️ Plus1s: We love them, but it's a work event, after all. ▪️ AV equipment: You might need less than you think you do. ▪️ Alcohol: Cuts out a bit of extra cost (and hangovers!) ❌ Where you SHOULDN'T: ▪️ Meals and coffee: Hungry and tired people do not bond.
