Sheri Johnson has been part of Proofed’s editor network for nearly three years. Based in Maple Valley, Washington, she edits across a range of content types and says one of the best parts of the job is how much she learns along the way.

She’s one of more than 750 professional editors in Proofed’s global network, which covers 100+ subject areas – a depth of expertise that allows Proofed to build specialist teams around each client’s content rather than offering a one-size-fits-all service.

Sheri’s background is in lab and quality management, where writing and editing were already part of her role. When family commitments made her look for something more flexible, freelance proofreading was a natural next step – and as a self-described grammar nerd, she already had the instincts for it. Outside of work, she recently relocated to Washington with her husband and two kids, and she has been making the most of it by hiking, exploring, and training for a summer pickleball league.

How Did You Get Into Proofreading and Editing?

I became interested in trying proofreading and editing when I was searching for a more flexible work option due to family obligations. I’ve always been a grammar nerd, and writing and editing were already part of my professional responsibilities as a lab manager and quality manager.

What’s Your Favorite Thing About Working for Proofed?

I love learning new things while working on documents! I’ve learned new vocab words, what a dram shop is, that crow’s-feet can be hyphenated, that there is a TV channel devoted to Scientology, and that vibe coding is a real thing.

Where Do You Call Home?

Maple Valley, Washington

What Do You Love To Do in Your Spare Time?

Hiking, reading, playing games with my family, and going to musicals, and I’ve been practicing pickleball to get ready for a summer league. I also love traveling with my husband and two kids. We recently moved to Washington and enjoy exploring our new state.

If You Could Own an Exotic Pet, What Would It Be?

Probably a panda – they seem very snuggly.

If You Could Only Eat One Food Every Day, What Would It Be?

I crave variety more than anything else, so it has to be pizza – endless topping combinations and even a dessert option.

Beach Vacation, Mountain Retreat, or City Break?

It’s the mountains for me. The views are breathtaking, and the peaceful forest atmosphere is so relaxing.

What’s Your Favorite Book, and Why?

Pride and Prejudice by Jane Austen has been my favorite book since high school. Austen is such a sly writer, and I love spending time in Elizabeth’s world!

My favorite series is now a tie between the Discworld books by Terry Pratchett and The Murderbot Diaries by Martha Wells. The topics in some of the Discworld City Watch books are (sadly) as relevant today as when Sir Terry wrote them decades ago. I was hesitant to read Murderbot at first because of the title, but I was surprised to find that the character is so relatable. Like Murderbot, I am also frequently exasperated by humans and would love to ignore my responsibilities and just watch TV.

Do You Have Any Proofreading or Editing Tips?

I sometimes struggle with beginning an edit and staying focused while working on a document. I’ve found that placing my phone across the room instead of right next to my laptop and using a standing desk helps keep my attention on the assignment.

Expert Editing at Scale

Editors such as Sheri are what make Proofed work. With 750+ professionals across 100+ subject areas, we match every client with a team that fits their content. Our teams have the backing of a dedicated project manager and a 24-hour standard turnaround time.

The word “however” is a conjunctive adverb, which means it links two sentences or independent clauses. Transition words like this are essential in professional and academic writing because they show how the ideas you present are connected.

Without transition words, the documents you write, such as your reports and proposals, will read as a series of disjointed phrases. That makes it difficult for readers to follow your arguments or reasoning. Because “however” is such a useful word, it’s easy to overuse it. The result is dull, repetitive writing. In this post, we’ll walk you through several strong alternatives so that when you write, it isn’t “however” heavy.

Understand What “However” Means

You use “however” when you are introducing a contrasting or opposing idea:

The candidate has strong technical skills; however, they are still developing experience in stakeholder management.

The proposal is comprehensive; however, it exceeds the original budget constraints.

The software platform is powerful; however, it requires additional training for new users.

In each case, “however” signals a shift. The second statement contradicts or qualifies the first. This makes it a valuable tool for building nuanced arguments in emails, white papers, and case studies.

Choose the Right Synonym for “However”

You can avoid repetitive use of “however.” Writers should replace it with one of the following words or phrases:

But

Although

Still

Nevertheless

Notwithstanding

Nonetheless

Yet

On the other hand

Despite this or in spite of this

All of these express opposition or limitation, which gives them a broadly similar meaning to “however.” In most of the examples above, you could replace “however” with one of the listed alternatives:

The candidate has strong technical skills; despite this, they are still developing experience in stakeholder management.

The proposal is comprehensive; yet, it exceeds the original budget constraints.

The software platform is powerful, but it still requires additional training for new users.

Each synonym carries a slightly different tone. “But” is direct and conversational. “Nevertheless” and “nonetheless” feel more formal. “On the other hand” works well when you want to present two sides of an argument explicitly. The right option depends on your audience and the level of formality your content requires.

Apply These Alternatives in Professional Writing

Transition words strengthen your writing across formats. In a client-facing proposal, for example, repetitive use of “however” in every paragraph can make your reasoning feel monotonous. Swapping in “yet” or “still” at the right moments keeps readers engaged.

The same principle applies to internal communications. A well-structured email that uses a range of conjunctive adverbs reads as more thoughtful and precise. It also helps your audience follow complex points without losing focus.

When you are required to draft longer content (such as research summaries or strategic recommendations), pay attention to how often “however” appears. If it appears more than once or twice per page, consider whether one of the synonyms listed above would serve the sentence better.

Vary Your Sentence Structure Too

Sometimes the best way to avoid overuse of “however” is to restructure the sentence entirely. Instead of relying on a single transition word, try combining your clauses with a subordinating conjunction like “although” or “even though” at the start of the sentence:

Although the proposal is comprehensive, it exceeds the original budget constraints.

This approach gives your writing a different rhythm. It also reduces your dependence on any one transition word. Variation in both your word choice and sentence structure is one of the most effective ways to keep your writing clear and engaging.

Key Takeaways for Replacing “However”

“However” is a useful word because it links phrases or sentences and indicates a change in your line of reasoning. If you want to avoid repetitive use of “however” in your writing, choose an alternative word or phrase that carries the same meaning. That means selecting a transition word that introduces a contrasting idea.

Keep these principles in mind:

Match the formality of the synonym to your audience

Restructure sentences when a direct substitution feels awkward

Read your draft aloud to catch repetition before finalizing

Extra Writing Guidance

When people refer to expressing something in plain English, they often call it “layman’s terms.” But what exactly is a layman? And how can you simplify your writing to make it accessible to a broader audience?

Whether you’re drafting client-facing reports or internal communications, the ability to write clearly is a competitive advantage. In this post, we offer practical tips on how to express yourself in plain English so that your message reaches every reader.

What Is a Layman? And What Are Layman’s Terms?

The words “layman,” “laywoman,” and “layperson” were originally related to religion. They referred to someone who belongs to a religious organization but has no special training. For example:

Both clergy and laypeople have an important role in the Catholic Church.

More generally, these terms now apply to any nonspecialist in a particular field. So we could also say:

As a layman, Tim struggled to follow the dense legal language.

The phrase “layman’s terms,” then, refers to using language that a layperson could understand. In practice, this means plain English that is free from jargon.

For businesses, this matters more than ever. Your audience often includes individuals, such as stakeholders or clients, who do not share your technical vocabulary. Writing in layman’s terms ensures your message is understood the first time, which reduces miscommunication and builds trust.

Five Tips To Help You Write in Plain English

How do you actually write in layperson’s terms? The following guidelines will help you communicate with clarity, whether you are writing proposals, emails, or website content.

1. Avoid Jargon and Define Technical Terms

Jargon is language used by experts or insiders in a specific field or industry, so you should try to avoid it when writing for a lay audience. Common forms of jargon include:

Technical language: for example, saying “cardialgia” instead of “heartburn”

Profession-specific slang: for example, the medical slang “bagging” that is often used to refer to the process of ventilating a patient by hand using a bag-valve mask

Undefined acronyms: abbreviations that only specialists would recognize

All of these forms of jargon rely on insider knowledge. Anyone not already familiar with the terminology may find your writing difficult to follow.

Instead, use everyday language wherever possible. If you do need to use a technical term, define it clearly when you first introduce it. This is especially important in client-facing deliverables, where unclear language can erode confidence in your expertise. Reviewing your word choice is a core part of strong editing practice.

2. Use Short Sentences and Paragraphs

Short sentences are easier to follow than long ones. While varying sentence length is good practice, favoring shorter constructions will improve readability. Here are a few ways to keep your sentences concise:

Use the active voice: this keeps your writing clear and direct

Eliminate unnecessary modifiers: cut repetition and wordiness wherever you find them

Break longer sentences apart: split complex statements into two or more shorter sentences

The same principle applies to paragraph length. Each paragraph should be roughly 100 to 200 words and focus on one key point. Keeping paragraphs concise helps you avoid intimidating blocks of uninterrupted text. This makes your document far easier to scan.

3. Get to the Main Point Quickly

People are busy, and they often skim. Unless you grab their attention early, they may stop reading altogether.

State your main point as clearly as possible in the first paragraph of any piece of writing. In this blog post, for example, we could have begun by discussing religious laity. But since that is not our primary focus, we make it clear from the start that the post is about plain English.

This approach is critical in professional communications. Decision-makers rarely have time to search for the key takeaway buried in the third paragraph of an email or the fifth page of a report. Lead with the most important information.

4. Respect Your Reader’s Intelligence

Simplifying your language does not mean dumbing down your ideas. If your reader feels you are talking down to them, they may lose interest entirely.

The key is to find a level that suits your audience. If you are explaining a scientific theory to children, you may need to simplify certain concepts. But if you’re addressing colleagues or clients, you can assume they’re capable of grasping complex ideas, even if they don’t know the technical vocabulary involved.

Before you begin writing for a lay audience, ask yourself:

Does my target audience already know anything about this topic?

What background will readers need to understand my point?

How comfortable is my audience with complex ideas presented in accessible language?

You can then tailor the complexity of your writing to suit your target readers. Understanding your audience is also essential when developing your organization’s tone of voice.

5. Have Your Content Professionally Reviewed

A great first step is to ask a nonspecialist colleague to read a draft of your writing. They can offer a different perspective and point out areas that may be hard to understand for a lay audience.

For an expert opinion, you can have your work reviewed by a professional editor. Our editors at Proofed provide feedback on clarity and plain-English readability. They also ensure your content is free from errors that could undermine your credibility. This is especially valuable for high-stakes deliverables such as client proposals and published content.

Make Every Word Count for Your Audience

Writing in layman’s terms is not about oversimplifying. It’s about respecting your reader’s time and ensuring your message lands. When your communications are clear, your organization appears more credible and professional, as well as easier to work with.

The en dash (–) and em dash (—) are useful punctuation marks, but you won’t find either of them on a standard keyboard. This post explains how to produce these dashes on Windows and Apple devices so you can use them confidently in your daily writing. Watch the video below to see this in practice on a Mac, or read on to learn more.

What Is an En Dash?

An en dash looks similar to a hyphen, but it’s slightly longer. It’s roughly the same width as the capital letter N, hence the name. En dashes primarily serve to indicate ranges, scores, conflicts, and connections. Here’s an example of each:

Zhu Zhanji, Emperor of the Ming Dynasty, 1425–1435

The Rams won 34–11 against the Cardinals.

Will consumers ever settle the hybrid–electric argument?

Niagara Falls is on the Canada–America border.

In British and Australian English, writers also use en dashes with spaces on either side to set off parenthetical expressions:

I visited Niagara Falls – on the Ontario side – last summer.

I have to make a choice for my next vehicle – hybrid or electric.

Understanding when to apply each type of dash is an important part of mastering punctuation in all of your written communications. For a deeper look at how hyphens and dashes differ, see our guide on hyphen usage.

How To Type an En Dash

On a Mac, inserting an en dash is straightforward. Hold down the option key while pressing hyphen (-).

In Windows, there are three methods to produce an en dash:

First, Microsoft Word automatically corrects a hyphen to an en dash when it detects spaces on either side. You can insert an en dash by typing the required words or numbers with a spaced hyphen in between. Remember to delete the spaces afterward, though (unless using the en dash for parenthetical information in British or Australian English).

Second, if you have a numeric keypad, you can produce an en dash with the keyboard shortcut Ctrl + minus sign (-). Keyboard shortcuts such as this can save significant time when formatting documents. You can find more helpful options in this list of shortcuts for Microsoft Word.

The third method is to use the Symbols menu. To do this, click on Symbol in the Insert tab. Then select More Symbols. Scroll down until you see the correct symbol. If unsure, clicking on the symbol will reveal its name. You can then click Insert to enter it into your document.

What Is an Em Dash?

An em dash is so named because it’s roughly the same width as the capital letter M. In American English, we primarily use em dashes to set off parenthetical information:

Baldwin’s first novel—Go Tell It on the Mountain—is set in 1930s Harlem.

Em dashes also appear in dialogue to indicate interrupted speech:

“Don’t be silly! There’s no such thing as gho—” And then he froze.

In all types of writing, em dashes can add emphasis or introduce an important aside within a sentence. They’re common in marketing copy and editorial content. Knowing when to use them (and when to choose a different punctuation mark) ensures your writing is precise and readable. This overview of parenthetical punctuation covers these choices in more detail.

How To Type an Em Dash

On a Mac, type an em dash by holding down the shift and option keys while pressing the hyphen (-).

With Windows, there are three ways to type an em dash:

Autocorrect in Word: in Microsoft Word, two hyphens between two words without spaces (e.g., word–word) will autocorrect to an em dash.

Numeric keypad shortcut: use Ctrl + Alt + minus sign (-).

Symbols menu: click on Symbol in the Insert tab. Then select More Symbols. Scroll down until you see the correct symbol. As mentioned before, click on the symbol to reveal its name if you are unsure. Then click Insert to enter it into your document.

Choose the Right Dash for Your Content

Selecting the correct dash matters more than you may realize. Using a hyphen where an en dash belongs (or vice versa) can confuse readers and undermine the credibility of your content. A consistent approach to punctuation signals attention to detail, which is especially important in client-facing materials.

If you’re working within a specific style guide, check its recommendations for dash usage. The Chicago Manual of Style, for example, favors em dashes without spaces for parenthetical information. AP Style also allows em dashes, but prefers them to be unspaced. Aligning your punctuation choices with your organization’s preferred style guide ensures consistency across all communications.

Now that you know how to produce and use en and em dashes, you can confidently include them in all of your writing tasks, from personal emails to website copy.

Long-tail keywords represent one of the most effective strategies to improve your business blog’s search engine performance and drive qualified traffic to your website. These targeted phrases can help smaller businesses compete against larger competitors and attract visitors who are closer to a purchase decision.

If you understand how to implement and optimize long-tail keywords in your blog content, you can transform your digital marketing results. This guide explains the fundamentals of long-tail keyword strategy and provides actionable steps to boost your search engine optimization (SEO) performance through strategic content creation.

How Keywords Drive SEO Success

SEO centers on using keywords strategically to increase your website’s visibility when potential customers search for products or services you offer. Keywords represent the bridge between what people search for online and the content you create to meet their needs.

Most businesses start with broad, short keywords that focus on core aspects of their operations. An online clothing retailer might target “knitwear” as a primary keyword for their sweater collection. However, these broad terms face intense competition from established websites, which makes it extremely difficult for newer or smaller businesses to rank prominently in search results.

A successful SEO strategy requires you to move beyond obvious, competitive keywords to find opportunities where your content can stand out. To build topical authority in your industry, you need to understand search intent and create content marketing strategies that serve specific customer needs.

What Are Long-Tail Keywords?

Long-tail keywords consist of longer, more specific phrases that typically contain three or more words. These targeted terms offer significant advantages for businesses seeking to improve their search visibility and conversion rates.

Long-tail keywords face less competition because fewer websites cater specifically for these detailed phrases. A business targeting “handmade Fair Isle knitwear” will encounter far less competition than one that competes with “knitwear” alone. This reduced competition makes it easier to achieve higher search rankings and attract targeted visitors.

More importantly, people using specific search terms often demonstrate higher purchase intent. Someone who searches for “handmade Fair Isle knitwear” knows exactly what they want and is likely closer to a purchase decision than someone conducting a broad search for “knitwear.” This specificity typically results in better conversion rates and more qualified leads for your business.

Long-tail keywords also help you capture voice search traffic, which often uses natural, conversational phrases. As voice search continues to grow, more natural keyword phrases position your content for future search behavior trends.

How To Use Long-Tail Keywords To Drive Website Traffic

To create individual website pages for every long-tail keyword you want to target would result in an unwieldy, difficult-to-navigate site structure. Blog posts provide the perfect solution to target specific long-tail keywords and maintain a clean, organized website.

Blog content allows you to create comprehensive archives that address specific topics and keyword variations. Each post can target distinct long-tail keywords that link to relevant products or services on your main website. This approach channels qualified traffic from blog content to your primary business pages.

To use our knitwear example, your main website might feature a “knitwear” category page, which highlights various products. You could then create a detailed blog post about care and style tips for handmade Fair Isle knitwear that targets specific long-tail keywords and links to relevant products in your inventory.

Visitors who search for “handmade Fair Isle knitwear” would discover your informative blog post, which would then guide them to your product pages. This strategy provides valuable information to create natural pathways to your business offerings.

Blog posts also allow you to demonstrate expertise and build trust with potential customers before they reach your sales pages. Educational content positions your business as a knowledgeable resource, which increases the likelihood that visitors will choose your products or services over competitors.

How To Implement an Effective Long-Tail Keyword Strategy

Successful long-tail keyword implementation requires systematic research. Follow these steps to develop content that attracts qualified traffic and supports your business objectives:

Brainstorm keyword variations: Start with your existing primary keywords, and expand them into more specific phrases. Consider how customers might search for your products or services using natural language. Think about specific features, benefits, locations, or use cases that could create longer keyword variations.

Use keyword research tools: Leverage professional keyword research platforms to identify long-tail opportunities with optimal search volume and competition levels. Tools such as Google Keyword Planner, Semrush, or Ahrefs can reveal specific phrases your target audience searches for, with competition levels and search volume data.

Analyze search intent: Understand why people search for specific long-tail keywords and what information they expect to find. Some searches seek informational content, while others indicate commercial intent. Align your content format and approach with the searcher’s likely intent.

Plan strategic blog content: Develop a content calendar that features blog posts to target specific long-tail keywords. Ensure each post provides genuine value and naturally incorporates relevant internal links to your products, services, or other helpful content.

Create comprehensive content: Develop blog posts that thoroughly address the topics implied by your target long-tail keywords. Comprehensive content performs better in search results and provides more opportunities to include related keywords and internal links naturally.

Monitor and optimize performance: Track how your long-tail keyword content performs in search results and adjust your strategy based on actual traffic and conversion data. Use analytics to identify which long-tail keywords drive the most qualified traffic to your business.

This systematic approach helps extend your SEO reach significantly to attract visitors who are more likely to engage with your business offerings.

Maximize Long-Tail Keyword Content Impact

To successfully create content around long-tail keywords, balance SEO optimization with genuine value for readers. Produce helpful, informative content that naturally incorporates your target keywords and addresses real customer needs and questions.

Structure your blog posts to answer specific questions implied by your long-tail keywords. Use headings, bullet points, and clear organization to make your content easily scannable and valuable for both readers and search engines.

Include relevant internal links to related blog content, product pages, or service information where they add genuine value for readers. Strategic internal links help search engines understand your content relationships while guiding visitors to additional helpful resources.

Remember that search engines prioritize content quality and user experience over keyword density. Create genuinely helpful content that serves your audience’s needs and naturally incorporates your target long-tail keywords throughout the text.

To communicate effectively, professional documents require visual elements to support key points and maintain reader engagement. Microsoft Word provides several powerful options to incorporate images that can transform basic text documents into compelling business communications. Understanding these image insertion methods can help you achieve maximum visual impact with your documents and maintain professional presentation standards.

Images can clarify complex concepts and enhance your message when creating marketing materials, reports, presentations, and training materials. Our guide explains how to add and format images in Microsoft Word to create documents that engage readers and support your business objectives.

Access Microsoft Word’s Image Tools

Microsoft Word offers three primary methods to add images to your documents, with each serving different purposes and content needs. You can access all these options through the tabs on the main ribbon by navigating to Insert > Illustrations.

This Illustrations section serves as your central hub for visual elements. Beyond image insertion, you’ll find options to add visual components, such as charts and tables, which you can use to enhance your business communications. The consistent location of these tools makes it easy to create visually rich documents efficiently.

The ribbon interface provides quick access to frequently used image functions, and advanced options are readily available through expanded menus. This organization supports both basic and sophisticated document creation workflows.

Insert Images From Your Computer

The most common method to incorporate visual images into business documents is using images stored on your computer. This approach gives you complete control over image quality and ensures you have proper licensing rights for all visual content.

To insert images from your computer, place your cursor where you want the image to appear in your document. Navigate to Insert > Illustrations and click Pictures to open a new file browser window. Locate and select the image file you want to use, then click Insert to add it to your document.

The image will appear at full size in the selected location. Word supports most standard image formats, including JPEG, PNG, GIF, and BMP files. You can also drag thumbnail files directly from your file explorer into the Word document, which provides a faster workflow for users who are more comfortable with drag-and-drop operations.

This method works best when you have high-quality images saved locally and need precise control over image selection and placement. It’s particularly valuable for business documents that require specific branded images or custom graphics created for your organization.

Add Images Directly From the Internet

Microsoft Word’s online image search feature allows you to find and insert web-based images without leaving your document. This functionality streamlines the image selection process and provides access to extensive online image libraries.

Position your cursor where you want the image to appear, then go to Insert > Illustrations and click Online Pictures. This opens Bing Image Search directly within Word, allowing you to search for images using keywords related to your content.

To search for images for commercial or business use, ensure you keep the Creative Commons Only filter selected. This setting helps you find images with appropriate licensing for business applications. Select your desired image and click Insert to add it to your document.

Word automatically adds basic attribution information when you insert online images, including licensing details. However, you should familiarize yourself with copyright laws and Creative Commons licensing requirements before you use any images in business documents. Proper image licensing protects your organization from potential legal issues and respects the original content creators’ rights.

Use Built-In Shapes and SmartArt Graphics

For simple visual elements such as flowcharts and diagrams, Word’s built-in Shapes and SmartArt options provide professional options and eliminate the need for external image files. These tools are particularly valuable to create consistent visual elements that match your document’s style.

Shapes include arrows, boxes, speech bubbles, and various geometrical forms that you can customize with different colors, borders, and effects. Access these by going to Insert > Illustrations > Shapes, then click and drag to set the dimensions of your selected shape.

SmartArt offers predesigned combinations of shapes optimized for specific communication purposes. You will find a wide range of options such as graphics suitable for organizational charts and process diagrams. SmartArt automatically maintains consistent styling and proportions, which makes it ideal for professional business documents.

Both Shapes and SmartArt integrate seamlessly with Word’s text formatting and can be easily modified to match your document’s color scheme and design requirements. These tools provide scalable graphics that maintain quality at any size and are ideal for documents that may be printed or displayed at different scales.

Format Images for Professional Presentation

Proper image format ensures your visual elements enhance rather than distract from your document’s message. Word provides comprehensive format options that help you achieve professional results that maintain document consistency.

Control Image Size and Position

To resize images, click and drag the circular handles at the image edges. Drag the corner handles rather than side handles to prevent image distortion and maintain aspect ratio. For precise sizing, right-click the image and select Size and Position to access exact dimension controls.

To move images, click and drag them to new positions within your document. This method works well for basic repositioning, though more advanced layout options provide greater control over precise placement and alignment.

Configure Text Wrapping Options

To determine how your document text flows around inserted images, use the Text Wrap options. Access these settings by clicking an image and going to Format > Arrange > Wrap Text or clicking the layout icon that appears next to selected images.

Different wrap options serve various layout needs. Square wrap creates clean rectangular boundaries around images. Tight wrap follows the image’s actual contours. Through wrap allows text to flow over transparent image areas. Top and bottom wrap places images on separate lines from the text.

Choosing an appropriate text wrap option ensures your images integrate smoothly with surrounding content and maintains readable text flow. Professional documents typically use consistent wrap styles throughout to create a cohesive visual presentation.

Remove Images When Necessary

To delete images, select them and press the Delete or Backspace key on your keyboard. This immediately removes the image and allows the surrounding text to reflow naturally. Word automatically adjusts the document layout when images are removed and will maintain the proper format for the remaining content.

Apply Best Practices for Business Documents

Successful image integration requires a strategic plan for visual communication and the document’s purpose. Consider how each image supports your key messages and enhances reader understanding and follow these best practices:

Choose images that directly relate to your content and provide clear value to readers. Avoid decorative images that don’t support your communication objectives, as they can distract from important information and reduce document effectiveness.

Maintain a consistent image style throughout your document. Use similar size, position, and format approaches for all visual elements to create professional, cohesive presentation standards.

Consider your audience when you select and format images.

Search engine optimization is vital for any business operating online. Strong SEO helps potential customers find your website when they search for products or services you offer. However, many businesses overlook how professional proofreading directly impacts search engine rankings.

Quality editing improves your SEO performance in three significant ways:

Helps you integrate keywords naturally into website text

Ensures your content remains factually accurate without distracting errors

Gives your content the authoritative tone that search engines and users trust

Understanding these connections between editing quality and search performance will help you make better decisions about investing in professional content review for your website.

1. Use Copy Editing To Integrate Keywords Naturally

Keywords and keyword phrases are crucial to an effective SEO strategy. These terms connect what people search for with the content your website provides.

If you run a pet shop in Boston and want to rank on Google when someone searches for “luxury dog food Boston,” you should use the keywords “luxury dog food” and “Boston” strategically throughout your site. However, how you include these terms matters significantly for search engines and human readers.

Incorporate Keywords Naturally

Simply listing keywords out of context doesn’t work. This practice, known as keyword stuffing, actually harms your search rankings because it creates a poor user experience. Search engines penalize websites that prioritize keyword density over readability.

Instead, you need to work keywords into your website content organically so they read naturally while still supporting your SEO goals. This balance requires careful attention to how keyword placement affects sentence flow and overall meaning.

Professional Keyword Placement

Professional proofreaders and copy editors can identify places where keywords read awkwardly or disrupt natural language patterns. They will suggest solutions that preserve important search terms while ensuring the content flows smoothly for readers.

This editing approach helps you maintain keyword optimization without sacrificing the readability that keeps visitors engaged once they arrive at your site. Better user engagement signals to search engines that your content provides value, which further improves rankings.

2. Ensure Accuracy and Error-Free Content

Accuracy is a critical component of a successful SEO strategy. Search engines like Google evaluate content quality partly through factual correctness. If your content contains factual errors or misleading information, search engines will rank it poorly because they prioritize delivering reliable results to users. Inaccurate content damages your credibility with both algorithms and human readers.

A professional proofreader can check your writing for incorrect or misleading information and suggest revisions to fix problems before publication. This quality control protects your search rankings while building trust with your audience.

Errors Increase Bounce Rates

While search engines don’t directly penalize typos, Google’s representatives have stated that reputable pages typically demonstrate strong spelling and grammar. This correlation exists because people are more likely to trust and share content that appears professionally produced. Errors undermine user confidence and increase bounce rates because visitors are more likely to leave a site that appears unprofessional. High bounce rates signal poor content quality to search engines, which can hurt your rankings.

Conversely, when users spend more time on your site, share your content, or link to your pages, these engagement signals tell search engines that your content provides value. These positive signals improve your rankings over time.

A professional editor can catch errors before they reach your audience. This quality assurance protects both your search engine performance and your professional reputation with potential customers.

3. Maintain Your Authority With Consistency

When people search for information online, they want definitive answers from trustworthy sources. Search engines recognize this user preference and consistently rank authoritative content higher in results.

Clear and Concise

The highest-ranking websites almost always provide answers in clear, concise language with an authoritative tone. This writing style signals expertise while making information accessible to readers.

Achieving an authoritative tone partly involves making your content easy to read. Most people won’t trudge through dense paragraphs of complex text to find the answers they need. Accessible formatting and clear explanations keep readers engaged.

Authoritative Tone

You also want readers to trust your expertise in your company’s field. This trust develops when your content tone reflects genuine knowledge while avoiding overly casual language or unnecessarily complex jargon.

The best approach involves asking an expert to polish your writing. A professional proofreader doesn’t just correct errors. They also refine the content tone to ensure you sound like the industry leader you aspire to become.

This tonal refinement helps establish credibility with both search engines and human readers. When your content consistently demonstrates expertise through professional presentation, you build the authority that drives long-term SEO success.

Optimize Your Website Content With Proofreading

Professional proofreading for SEO delivers measurable benefits through improved search rankings and better user engagement. While you can review your own content, a professional editor will bring an objective perspective and expertise to catch issues you might overlook.

Expert editors understand language mechanics and how search engines evaluate content quality. This dual expertise will ensure your website content meets technical standards and keeps human readers engaged.

Consider professional editing an investment in your online visibility rather than an optional expense. The improved search rankings and user engagement that result from quality content typically generate returns that far exceed editing costs.

Professional editing improves search rankings by ensuring your content meets quality standards that search engines and users reward. Optimize your website with Proofed’s SEO editing services and enhance your readability and search visibility today.

Finding the right copy editor can transform your business communications from adequate to exceptional. Professional copy editing ensures your content builds credibility and communicates your message clearly. This professionalism can drive the results your business needs. The quality of your written communications, such as marketing materials or website content, directly impacts how customers and stakeholders perceive your organization.

Hiring a copy editor involves more than finding someone who can spot typos. The best copy editors understand business objectives, maintain brand consistency, enhance content effectiveness, and preserve your unique voice. This guide provides a systematic approach to identifying and evaluating candidates so that you select copy editors who will elevate your business content and support your communication goals.

What Copy Editors Can Deliver for Your Business

When hiring a copy editor, focus on the specific value they provide rather than just their technical skills. Understanding these deliverables helps you evaluate candidates effectively and set appropriate expectations for your projects.

Error Correction and Professional Presentation

Professional copy editors identify and eliminate grammatical, spelling, and punctuation errors that can undermine your credibility. They ensure proper syntax and sentence construction while promoting natural readability. This attention to detail prevents embarrassing mistakes that could damage your business reputation.

Brand Consistency and Style Adherence

Copy editors ensure your content follows your established style guide and maintains consistent formatting and terminology. They also preserve a consistent presentation across all materials, which creates a cohesive, professional appearance that reinforces your brand identity and builds customer trust.

Enhanced Clarity and Reader Engagement

Skilled copy editors refine sentence structure and paragraph transitions to improve the overall content flow and comprehension. They reorganize unclear passages and eliminate redundancy, as well as strengthen logical connections between ideas. This editing enhances reader engagement and ensures your message lands effectively with your target audience.

Fact Verification and Accuracy Assurance

Many professional copy editors include fact-checking services to verify claims and statistics in your content. This verification protects your business’s credibility while ensuring your materials provide reliable information that customers and stakeholders can rely on.

Audience-Focused Content Optimization

Experienced copy editors adapt content tone and complexity to match your target audience and business objectives. They understand how different audiences process information and adjust your content and style accordingly to maximize impact and conversion potential.

When Your Business Needs a Copy Editor

Understanding when to invest in professional copy editing helps you maximize content effectiveness while managing resources efficiently.

Marketing and Sales Materials

Business marketing requires professional editing to ensure content clearly and consistently conveys the value of your product or service to your customers. Copy editing helps marketing materials produce better results by improving readability and persuasive impact.

Website and Digital Content

Professional website content editing ensures your online presence communicates effectively with visitors while supporting search engine optimization efforts. With the help of a copy editor, your web content will be more engaging and reflective of your professional standards, which builds trust and encourages conversions.

Internal Communications and Reports

Business reports, internal communications, and documentation benefit from copy editing by ensuring accurate and professional presentation. Well-edited internal content improves communication and reflects positively on organizational standards.

Published Content and Thought Leadership

Content creators and business leaders publishing articles and blogs or industry-related content require copy editing to maintain credibility and establish thought leadership. Professional editing helps published content engage readers while positioning your business as an industry authority.

Proposal and Contract Documentation

Business proposals and contracts require meticulous copy editing. Formal documents of any kind should be accurate and clear, and professional presentation is a must. These high-stakes documents directly impact business relationships and financial outcomes.

Distinguish Copy Editing From Other Editorial Services

Understanding the difference between copy editing and other editorial services helps you hire the right professional for your needs.

Copy Editing vs. Proofreading

Copy editors focus on comprehensive content improvement, including grammar, style, clarity, and structure enhancement. They may suggest significant changes to improve content effectiveness. Proofreaders concentrate primarily on identifying final typographical errors and ensuring consistent formatting before publication.

Copy editing occurs earlier in the editorial process and involves more extensive content enhancement, while proofreading offers a final quality check before the content goes public. Many projects benefit from both services in sequence.

Copy Editing vs. Content Strategy

Copy editors improve existing content quality and effectiveness. Content strategists focus on planning and developing comprehensive content marketing strategies. They also help identify your audience’s needs. Both services complement each other, but they serve different functions in content development.

Follow a Systematic Hiring Process

Finding the right copy editor requires careful evaluation of candidates’ skills and experience, but they must also be compatible with your business needs. This approach helps you identify editors who can deliver consistent, high-quality results.

Define Your Requirements

Determine the project scope of your editing needs, including content types and volume, and whether your content has varying complexity levels. Establish budgets and preferred turnaround times for typical projects. Consider any specialized requirements, such as industry expertise or technical subject matter familiarity.

Research Qualified Candidates

Seek recommendations from business contacts, industry colleagues, or professional associations who have used copy editing services successfully. Personal referrals often identify experienced editors with proven track records and satisfied clients.

Explore professional editing platforms and service directories to identify candidates with relevant experience and positive client feedback. Industry-specific associations and established editing services provide access to qualified professionals with verified credentials.

Evaluate Editor Portfolios and Experience

Review potential copy editors’ portfolios to assess their previous work quality and style compatibility with your business needs. Look for experience editing content that is similar to yours. This could be content that focuses on the same industry, has a similar audience, or matches the complexity level.

Consider whether candidates’ editing approaches align with your business communication objectives and brand voice requirements. Evaluate their ability to maintain consistency across different content types and formats.

Conduct Comprehensive Interviews

Schedule detailed discussions with promising candidates to review your editing requirements and discuss timeline expectations and communication preferences. Assess their understanding of your business objectives and their ability to deliver the service level you require.

Use interviews to evaluate candidates’ communication skills, and look for professionalism and a cultural fit with your organization. Discuss their editing process, quality assurance methods, and approach to handling feedback and revisions.

Request and Compare Sample Edits

Ask top candidates to edit a representative sample of your actual content. This evaluation provides direct insight into their attention to detail and ability to improve your specific content types. This will also give you a glimpse into their editing style.

Compare sample results to identify editors whose improvements best match your expectations and business needs. Look for consistency and enhancements in clarity and overall content effectiveness.

Verify Client References

Contact a candidate’s previous clients to gather detailed feedback about the editor’s work. Ask specifically about communication quality, deadline reliability, consistency of work quality, and overall satisfaction with results.

Reference conversations provide valuable insights into an editor’s reliability and professionalism and their ability to maintain long-term working relationships with business clients.

Establish Clear Working Agreements

Document all project terms, including the scope of work, turnaround times, revision policies, communication protocols, and payment arrangements. Clear agreements prevent misunderstandings while ensuring both parties understand expectations and responsibilities.

Discuss how the editor handles rush projects and manages multiple priorities. Ask how they maintain quality standards under tight deadlines. Establish procedures for feedback and revisions, and agree upon a method to ensure ongoing communication.

Converting casual readers into committed customers requires mastering one crucial element: the call to action (CTA). Whether you’re creating website content or email campaigns, your CTA determines whether browsers become buyers. A weak CTA wastes all the effort you’ve invested in attracting visitors, while a strong one transforms interest into measurable business results.

Writing effective CTAs involves more than simply asking people to take action. It requires strategic thinking and persuasive language, as well as careful attention to presentation and psychology. The difference between “Learn more” and “Get your free consultation today” can mean the difference between mediocre and exceptional conversion rates.

This guide provides five proven strategies to help you create CTAs that drive results. You’ll learn how to align your CTAs with business goals and motivate readers to act. We’ll also discuss how to present your message in ways that maximize response rates.

1. Think About Your Specific Goal First

The foundation of every strong CTA begins with clarity about what you want to achieve. Without a clear objective, your CTA will lack focus and fail to guide readers toward meaningful action.

Common CTA goals include directing readers to additional content, promoting specific services or products, encouraging newsletter subscriptions, and suggesting specific actions, such as downloading resources or sharing content. Each goal requires specific language and approach strategies.

Whatever your objective, let it inform your writing choices. Strong CTAs typically use compelling action words that create urgency and momentum. Rather than passively mentioning that you offer a newsletter, actively urge readers to “Subscribe today for weekly tips” or “Join 5,000+ professionals getting our updates.”

Remember that a CTA literally calls for readers to act. Passive language produces passive responses, while active language generates active engagement. Your word choice should reflect the energy and commitment you want from your audience.

Consider the complete user journey when setting CTA goals. Think about what happens after someone clicks your CTA, and ensure your landing page or next step delivers on the promise your CTA makes.

2. Give Readers Compelling Reasons To Act

Encouraging action requires more than telling people what to do. You must provide clear, compelling reasons why they should invest their time, attention, or money in your offer.

Effective motivation strategies include clearly communicating your product’s value by providing free samples or offering discounts or exclusive access. Create urgency through limited-time offers or deadline-driven promotions. Provide reassurance with phrases such as “risk-free trial” or “money-back guarantee.”

Understanding your audience represents the key to choosing the right motivational approach. Business professionals may respond to efficiency benefits and time-saving solutions. Consumers might prioritize cost savings and convenience. Technical audiences often value detailed information and proof of expertise.

Research your target audience’s primary concerns and desires. What problems do they face? What solutions do they seek? What objections might prevent them from taking action? Address these factors directly in your CTA language.

Test different motivational approaches to discover what resonates most strongly with your specific audience. The most effective CTAs often combine multiple motivational elements, such as value and urgency, to create compelling reasons for immediate action.

3. Keep Your Message Short and Clear

Effective CTAs communicate their message quickly and clearly. Readers should instantly understand what action you want them to take and what they’ll receive in return.

Some of the most effective CTAs use just one or two words. “Buy now” or “Download guide” communicate clear actions without unnecessary complexity. When your offer is straightforward, brief CTAs often perform best.

Longer CTAs can work effectively when they provide necessary context or address specific concerns. A sentence or two remains acceptable as long as your message stays simple and focused. Users need to understand exactly what happens when they click or respond to your CTA.

Express your message as clearly and concisely as possible. Avoid industry jargon or ambiguous language, and keep phrases simple. Every word should contribute to clarity and persuasion.

Consider your content marketing strategy when you craft CTA language. Your CTA should align with your overall messaging while standing out as a clear next step for engaged readers.

4. Make Your CTA Impossible To Miss

Visual presentation significantly impacts a CTA’s effectiveness. Even the most compelling language fails if readers don’t notice your CTA among other page elements.

Design your CTAs to stand out prominently on screens and printed materials. Use contrasting colors and distinctive fonts, and choose a button format that draws attention without overwhelming your overall design. Consider size, placement, and visual hierarchy to ensure your CTA commands attention.

Strategic placement matters as much as visual design. Position CTAs where readers naturally look after consuming your content. This might be immediately after explaining the benefits of a product or at the end of an article. You can also position CTAs in prominent sidebar locations.

Test different visual approaches to identify what works best for your audience and content format. Some audiences respond well to bold, colorful buttons, while others prefer subtle, professional styling. The key is creating a clear visual distinction without compromising your brand image.

Remember that mobile users may view your content differently than desktop users. Ensure your CTAs remain noticeable and clickable across all devices and screen sizes.

5. Transform Readers Into Customers

Strong CTAs represent the bridge between content consumption and customer conversion. They transform passive readers into active participants in your business success. Mastering CTA creation helps you maximize the value of every visitor and subscriber who engages with your content.

Apply these five strategies consistently across all your marketing materials. Remember that small improvements in CTA effectiveness can generate substantial increases in conversion rates and business results.

Proofread for Perfect Presentation

Typos or unclear phrasing in CTAs create immediate credibility problems that can prevent conversions. Readers may question your professionalism or worry about the quality of what you’re offering if your CTA contains obvious errors.

Poor phrasing can confuse readers about what action you want them to take or what they’ll receive. Ambiguity kills conversions by creating uncertainty and doubt in potential customers’ minds.

Carefully proofread every CTA before publication. Read your CTA aloud to ensure it sounds natural and compelling. Check spelling, grammar, and punctuation with particular attention to detail.

Ask colleagues or friends to review your CTAs from a fresh perspective. They may catch errors you’ve missed or identify unclear elements that could confuse your intended audience.

For important campaigns or high-stakes content, consider professional proofreading to ensure your CTAs achieve maximum impact. Small investments in editing often generate significant returns through improved conversion rates and enhanced credibility.

To enhance engagement and captivate your audience, interactive PDFs provide an exciting solution that goes far beyond traditional static documents. Using interactive documents can help you achieve your business goals while minimizing complexity and maximizing audience impact.

Interactive elements transform ordinary documents into engaging experiences. Multimedia content and features such as clickable links and fillable forms create immersive experiences that resonate with your audience. These experiential processes promote audience involvement and provide personalized ways for your reader to interact with your content.

Whether you want to impress clients with interactive proposals or engage audiences with strong presentations, the ability to create these types of documents is a valuable professional skill. This comprehensive guide will show you how to create interactive PDFs that elevate your professional content.

The Key Benefits of Interactive PDFs

Interactive PDFs offer significant advantages for professional communication that extend far beyond basic document functionality. Understanding these benefits will help you leverage their full potential for business success:

Increased audience engagement: Interactive elements such as clickable links, multimedia content, and editable forms encourage active participation. Rather than passively reading, audiences become engaged participants in your content.

Better information retention: Interactive elements such as quizzes and embedded videos reinforce key concepts to boost information retention. When audiences actively engage with content, such as animated elements, rather than simply reading it, they remember more details and retain the information longer.

Enhanced visual appeal: Interactive PDFs enable you to use creative design elements that make content visually compelling for viewers. Professional presentation reflects positively on your brand and establishes credibility with your audience.

Industries across various sectors have harnessed interactive PDFs to deliver compelling content and achieve higher engagement levels. Education, marketing, training, and publishing sectors particularly benefit from these dynamic document capabilities.

Explore How Professionals Use Interactive PDFs

Professionals from diverse industries leverage interactive PDFs in innovative ways to communicate with target audiences. Understanding real-world applications will help you identify opportunities for your own professional contexts:

Marketing campaigns: Marketers create interactive brochures, product catalogs, and lead capture forms that drive conversions. Interactive elements guide prospects through buying journeys to collect valuable customer data for follow-up communications.

Training materials: Trainers and educators can use interactive features such as embedded videos and knowledge assessments to deliver engaging learning modules. Interactive elements improve learning outcomes and provide immediate feedback on comprehension and skill development.

Annual reports: Businesses present annual reports in interactive formats that feature infographics and clickable charts for visually appealing presentations. Navigation links allow stakeholders to further explore specific data points within the report.

Interactive elements transform mundane content into engaging experiences that create lasting impressions on audiences. This transformation fosters meaningful involvement with your professional content.

Apply Best Practices To Create Interactive PDFs

Interactive document elements can significantly elevate engagement levels when implemented thoughtfully. These features transform static documents into dynamic experiences that captivate audiences. However, it is important to maintain simplicity and clarity to ensure user-friendliness and accessibility throughout the interactive experience.

Implement Effective Interactive Elements

Interactive PDFs offer multiple elements that upgrade the user experience when applied strategically. Hyperlinks direct readers to specific sections or external resources and maintain document flow. Multimedia elements such as videos and audio clips provide additional context and visual interest that static text cannot achieve.

Forms allow users to input data directly into PDFs to create interactive and actionable experiences. Navigation buttons enable easy movement within documents, which simplifies overall usability for complex or lengthy materials.

To incorporate these elements, consider placement and frequency carefully. Avoid overwhelming readers and maintain cohesive information flow. Strategic implementation ensures interactive elements don’t distract from your core message.

Focus on Design and Layout Excellence

Visual appeal plays a crucial role in capturing and retaining audience attention in interactive PDFs. Well-designed layouts make content more engaging and professional.

Create visually appealing layouts that balance aesthetics with functionality. Incorporate color schemes, typography, and imagery that align with your brand identity and resonate with your target audience. Ensure layouts remain intuitive and easy to navigate for seamless user interaction.

Maintain consistency throughout your interactive PDF design. Consistent visual elements create professional impressions and support user comprehension. Strategic design choices aid your content objectives, which will help to maintain audience engagement throughout the entire document.

Develop Strategies To Engage Your Audience

Today’s audiences expect digital experiences that provide value and maintain interest. To engage your audience effectively, you will require a strategic plan that goes beyond basic interactivity and creates memorable experiences.

Create Personalized and Interactive Experiences

Personalization and interactivity are powerful tools to connect with audiences on deeper levels. Tailor your content to suit specific preferences and professional needs. This creates exclusivity and relevance that resonates strongly with viewers.

Consider a scenario where finance professionals receive interactive PDF guides on investment strategies personalized to their expertise levels and interests. Tailored content, such as interactive charts and customizable recommendations, will foster feelings of value and professional recognition.

Personalized interactive experiences demonstrate respect for audience time and provide targeted value that static documents cannot match. This approach can help you build stronger professional relationships, which will support your long-term business objectives.

Integrate Effective Calls to Action and Feedback Mechanisms

Effective audience engagement extends beyond information to prompt action and enable two-way communication. Clear calls to action in interactive PDFs guide professionals toward next steps – for example, to sign up for a consultation, download resources, or schedule an appointment.

Feedback mechanisms including surveys and interactive assessments often transform passive readers into active participants. An opportunity for professionals to share their preferences and feedback directly within a PDF document can create a valuable feedback loop.

When professionals feel empowered to interact with your content, they invest more time and attention. This leads to increased interest and measurable business results. Personalized elements with a clear call to action create interactive PDFs that inform and inspire action.

Optimize Interactive PDFs for Maximum Results

Careful optimization of interactive documents is crucial to achieving ultimate impact and business success. These strategic optimization approaches will help you achieve better results and maximize return on your interactive PDF investments.

Track User Engagement Effectively

To gauge content effectiveness and identify improvement opportunities in your interactive PDF, track user engagement. Utilize tools such as Google Analytics to monitor user interactions, including clicks, form submissions, and time spent on specific sections.

These insights enable data-driven decisions to drive engagement and will help you understand how users interact with your PDFs. You can then use these analytics to reveal which interactive elements perform best and the areas that need optimization.

Incorporate heat map and scroll track tools to provide visual representations of user behavior. These tools highlight high and low engagement areas. Continuously monitor these areas to adapt your features to better resonate with your audience over time.

Implement Iterative Improvements

Iterative improvements strengthen the overall effectiveness of interactive PDFs through systematic refinement processes. Collect user feedback and analyze engagement data to identify specific optimization opportunities.

Pay attention to user responses and behavioral patterns to understand what works well and what needs adjusting. This feedback provides valuable insights to adjust the interactive elements and boost overall document performance.

Iterative improvement involves cyclical processes to test and analyze. Based on the user insights you discover, adapt content and features to increase engagement and drive better business results. Impactful interactive PDFs require continuous refinement and optimization based on your audience’s needs.

Strategic optimization approaches involve engagement tracking and iterative improvements. This creates interactive documents that captivate professionals and drive meaningful business interactions. Embrace analytics and user feedback to develop interactive PDFs that consistently deliver exceptional results.

Transform Your Professional Communication

Creating interactive PDFs represents a powerful strategy for professionals seeking to increase audience engagement and communication effectiveness. Incorporating elements such as buttons, links, forms, and rich media provides experiences that capture meaningful interaction.
