Privacy Policy

As part of our mission to help make recreational sports better for everyone, Playpass Inc. ("Playpass", "we", "us") collects and processes a lot of information. This Privacy Policy is intended to help you better understand how we collect, use, and store your personal information—whether you are an organizer or player participant that uses our products, applications, or services (the "Services").

We are privacy-first. We collect only what we need to provide the Services, keep it only as long as necessary, use first-party analytics to improve the Services, and do not sell personal information. Our goal is to be the most privacy-first solution for sports.

This Privacy Policy covers our data collection practices and describes your rights to access, correct, amend, delete, port, or limit our use of your personal information.

By using our Services, or by dealing with an organizer using our Services, you are agreeing to the terms of this Privacy Policy and, as applicable, the Playpass Terms of Service.

We may update this Privacy Policy from time to time in order to reflect, for example, changes to our privacy practices or for other operational, legal, or regulatory reasons. If we make material changes to this Privacy Policy, we will give you notice of such changes by posting the revised policy on this Website, and where appropriate, by other means. By continuing to use this Website or the Support Service after these changes are posted, you agree to the revised policy.

1. Information from organizers

Privacy is important! If you are an organizer, your players need to understand how you (and how Playpass) collects and processes their personal information. Accordingly, if you use the Services, you agree to post an up-to-date and accurate privacy policy on your homepage that complies with the laws applicable to your business. You also agree to obtain consent from your players for the use and access of their personal information by Playpass and the service providers we use to deliver the Services (for example, payments, communications, infrastructure, and Google Maps for location information). In addition, if you are collecting any sensitive personal information from your players (including information relating to medical or health conditions, racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership or sexuality), you agree to obtain affirmative, express consent from your players for the use and access of sensitive personal information by Playpass and those service providers.

What information do we collect from organizers and why?

  • We collect your name, organization or company name, address, email address, phone number, location, and payment details (for example, your credit card information).
    • We use this information to provide you with our Services; for example, to confirm your identity, contact you, and invoice you. We also use this information to make sure that we comply with legal requirements.
  • We collect data about the Playpass pages that you visit. We also collect data about how and when you access your account and the Playpass platform, including information about the device and browser you use, your network connection, your IP address, and information about how you browse through the Playpass interface. We may look up IP addresses to detect abuse, prevent fraud, and infer approximate location.
    • We use this information to give you access to and to improve our Services; for example, to make our interface easier to use, prioritize the improvement of our most used products, and protect the Services from abuse.
  • We collect personal information about your players that you share with us or that players provide while browsing or during registration, membership sign-ups, waiver signatures, messaging, or support requests.
    • We use this information to provide you with our Services and so that you can process registrations, waivers, memberships, messages, referrals, and payments and better serve your players.
  • We will also use personal information in other cases where you have given us your express permission.

We collect this information when you sign up for our Services, use the Services, or otherwise provide it. We share it only with service providers needed to deliver the Services (for example, payments, communications, infrastructure, and Google Maps for location information), when required by law, when you direct us (such as enabling a third-party app), or in connection with a merger, acquisition, or similar transaction. We do not share personal information with third-party advertising providers, and we do not allow third parties to track you across other sites on Playpass-operated domains. If an organizer enables analytics on a connected custom domain, that organizer is responsible for notice and consent. We will ask for your consent before sharing for any other purpose.

2. Information from players

What information do we collect from our organizers' players and why?

  • We collect our organizer's players' name, email, phone number, birth date, gender, IP address, information about registrations, memberships, waiver signatures, and messages you initiate, information about the Playpass-supported organizer pages that you visit, and information about the device and browser you use.
    • We use this information to provide our organizers with the Services, including supporting and processing registrations, memberships, waivers, messaging, authentication, and payments. We also use this information to improve our Services.

We collect this information when you use or access an organizer that uses our Services (for example, when you visit an organizer's site, register, or sign up for an account). Sharing practices for player information follow the same rules described above for organizers.

3. Information from website visitors and support users

What information do we collect and why?

  • As you visit or browse the Playpass website, we collect information about the device and browser you use, your network connection, your IP address, and information about the cookies installed on your device.
  • From support chat or support email users, we collect your name, email address, message content (and any attachments), information about the device and browser you use, your network connection, and your IP address. Pursuant to our Terms of Service, we may request additional documentation from you during support interactions to verify your identity.

We use this information to verify your account, to provide and enhance our Services (including supporting or servicing your account, if applicable), and answer any questions you may have. We may also use IP address lookups to detect abuse and keep the Services secure. We collect this information when you visit the Playpass website or contact us by email, web form, or support chat, and from any additional information you provide.

4. Cookies and similar technologies

Cookies are small text files stored on your device. We use first-party cookies and similar storage to keep you signed in, remember preferences, and protect the Services.

  • Essential cookies for authentication, security, and fraud prevention.
  • Preference cookies for language, timezone, and display settings.
  • First-party analytics (Ahoy) to understand usage and improve the Services.
  • Optional organizer-enabled analytics on connected custom domains.

We do not use third-party cookies or advertising trackers on Playpass-operated domains, and we do not allow third parties to collect usage data across other sites there. If an organizer enables analytics on a connected custom domain, the organizer is responsible for notice and consent for that domain.

5. How long do we retain your personal information?

  • In general, we keep your personal information only as long as needed to provide the Services and comply with legal obligations. For organizers, this means we will keep your information as long as you maintain a site on your platform. For our organizers' players, we process your information solely as a data processor on behalf of our organizers, and it is up to the organizer to determine how long they will store your information in our systems.
  • Once you terminate your relationship with us, we generally will continue to store archived copies of your personal information for legitimate business purposes and to comply with the law, except when we receive a valid erasure request, or, if you are an organizer, you terminate your account and your personal information is purged pursuant to our standard purge process. We may retain anonymized information, such as website visits without identifiers, to improve our Services.

6. What we don't do with your personal information

  • We do not and will never share, disclose, sell, rent, or otherwise provide personal information to other companies (other than to specific Playpass organizers you are interacting with, or to third-party apps or service providers being used by the organizers you are interacting with) for the marketing of their own products or services. We also do not and will not "sell" your customers’ information, as that term is used in California law.
  • We do not use third-party advertising or analytics trackers, and we do not share usage data with those providers.
  • If you are an organizer using our Services, we do not use the personal information we collect from you or your players to independently contact or market to your players.
  • We will not charge you more or provide you with a different level of service if you exercise your privacy rights.

7. How do we keep your personal information secure?

  • We follow industry standards on information security management to safeguard personal information entrusted to us. Our information security systems apply to people, processes, and information technology systems on a risk management basis.
  • For online payments, we use Stripe, an industry leader in payments, to make sure that your financial information never touches our servers.
  • No method of transmission over the Internet, or method of electronic storage, is 100% secure. Therefore, we cannot guarantee the absolute security of your personal information.

8. Residents of the European Economic Area ("EEA")

Playpass works with organizers and users around the world, including in the EEA. If you are located in the EEA, you have rights to access, correct, delete, port, or object to certain uses of your personal data. Organizers, visitors, and support users can contact us to exercise these rights. Players should contact the organizers they interacted with directly, since we act as a processor on their behalf.

We process personal data to provide the Services, comply with legal obligations, and pursue legitimate interests such as operating, securing, supporting, and improving the Services (including internal analytics and testing). We consider the nature of processing and safeguards to protect data subjects.

9. How do we protect your personal information across borders?

Playpass is headquartered in Virginia, and data may be processed in the United States or other countries. By using the Services, you consent to this transfer and storage, including transfers outside Switzerland and the EEA.

10. Control over and access to your personal information

Playpass takes reasonable steps to allow you to access, correct, delete, port, or limit the use of your personal information. Organizers can update many types of personal information in billing or account settings; otherwise, contact us. If you are a player, please contact the organizers you interacted with directly, since we act as a processor on their behalf. If you delete or limit the use of your personal information, the Services may not function properly.

11. Our policy concerning children
