Portfolio Dashboard Overview

Track all your projects in real time on one dashboard, or use filters to analyze specific projects

Portfolio dashboards are only available on Business and above, learn more.

 

Just like the project dashboard, the portfolio dashboard has six charts that update in real time as project data is entered across the software: health, time, cost, workload, tasks and projects.

However, the portfolio dashboard collects data from all of your projects, offering real-time project portfolio analysis. Use the filters to analyze specific projects. Filter by project manager, project folder, status, customer and more.

Tip: Organize your projects into folders so you can filter your portfolio dashboard by project folder and track specific groups of projects.

Accessing the Portfolio Dashboard

Click on "Portfolio" on the left-hand screen menu. Then, click on the dashboard icon across the top menu to access the portfolio dashboard.

Customizing Your Dashboard

The data that you can customize depends on the specific graph. For example, you can adjust the threshold on the time chart by clicking on the small gear icon. For many of the sections, you can also adjust the colors by using the gear icon.

You can add filters by clicking the icon at the top right of the screen. You can filter by group, status, priority, project manager or customer:

  • Groups: Groups can be defined on the Portfolio Projects tab by renaming the folders on the left side of the page and dragging projects into them. You can group projects by country, department, etc, and then filter by those projects on the Portfolio Dashboard.
  • Status: You can indicate project status on the overview projects tab. You can then filter by status on the portfolio dashboard.
  • Priority: You can indicate a priority level on the Portfolio Projects tab and filter by priority level. 
  • Project manager: You can assign a project to a certain project manager on the Portfolio Projects tab or in project settings. Once assigned, you can filter by project manager on the portfolio dashboard to see the status of projects by that project manager.
  • Customer: You can add a customer to a project on the Portfolio Projects tab or in project settings. You can then filter by customer on the portfolio dashboard.

Similar to the project dashboard, you can move the charts to a different position by selecting the chart you wish to move and dragging the chart and dropping it in your preferred location.

Health

The health chart indicates the health of your projects. It allows you to easily identify those projects that are progressing well and those projects that are falling behind. You'll notice that the colors can’t be customized on this graph.

  • Red represents projects that are behind by more than 50%
  • Orange represents projects less than 50% behind
  • Green represents projects on or ahead of schedule.

Tasks

This chart shows you the number of tasks across all of your projects that are not started, in progress and complete. The colors can be adjusted by clicking the small setting gear icon on the right-hand side of the graph.

  • Not Started: The number of tasks that have not been started yet. These tasks will be marked as 0% complete.

  • In Progress: The number of tasks that have been started but are not finished. These tasks will be marked as between 0%-99% complete.

  • Complete: The number of tasks that have been completed. These tasks will be marked as 100% complete.

Progress

You'll see your actual progress compared to your planned progress, for all projects. Planned progress is hidden by default but you can click the settings gear at the top right of the chart to display it.

  • Actual Progress-Top Bar: The actual progress bar shows how close you are to completing the project. This number is calculated from the value entered in the actual percent complete column on the gantt or the progress on the board or the list (not started, started, halfway done, or done). It also takes into consideration the duration of each task because completing a month-long task is more significant than completing a single-day task.
  • Planned Progress-Bottom Bar: The planned progress bar shows the percent complete that your projects should be at today. If your project is behind schedule, you may need to adjust your planned finish or due date on the gantt, list or board. You'll notice the following colors on the overview progress chart: pink, purple, blue and green. The colors indicate progress in increments of 25%.
    • Pink: The project is 0-25% percent complete
    • Purple: The project is 26-50% complete
    • Blue: The project is 51-75% complete
    • Green: The project is 76-100% complete

Tip: Depending on how many projects you have, you might see a prompt at the bottom of the progress chart to run a progress report. You can also use the dashboard filters to only show the projects you're interested in.

Time

The time chart tells you whether your projects are ahead or behind schedule. The software looks at every project and calculates the percentage that was due to be completed by today versus the actual percent complete and determines if it's ahead or behind.

You can change the color and threshold by clicking the gear icon in the time section.

Cost

The cost section outlines the actual, planned and budgeted costs across your projects. If you hover over each line in the bar chart, you'll see additional information and context about the data. Feel free to click on any of the lines on the bar chart to be taken to either the project itself or project settings.

Workload

This chart shows the workload across all projects based on the total number of tasks and their statuses. You will see three statuses: completed, remaining and overdue. The colors can be adjusted by clicking the small setting gear icon on the right-hand side of the graph.

  • Completed: Shows the number of tasks that are 100% complete

  • Remaining: Shows the number of tasks that are not 100% and not overdue

  • Overdue: Shows the number of tasks that have a planned finish date before today and are not 100% complete

 

Tip: If you have more projects than what the dashboard shows, you may be prompted to run a workload report so you can see workload data across all projects.

Printing the Portfolio Dashboard

You can easily print or download the dashboard to a PDF by clicking the print icon that appears on the upper right-hand portion of the portfolio dashboard page. Once you click the icon, choose to print individual charts or the entire screen and click print.
