Mobile / App
We don’t have an app in the app stores yet, but anyone filling in your forms can put FormSafely on their phone’s home screen. It opens full screen with the FormSafely logo, like an app. They sign in, see the forms you’ve given them, and fill in and submit each one.
1. Send your crew this link
Text it, email it, or put the QR code up in the site office or lunchroom.
Point the phone’s camera at the code to open the link.
2. Add it to the home screen
iPhone or iPad
- Open the link in Safari.
- Tap the Share button (bottom of the screen on iPhone, top on iPad).
- Scroll down and tap Add to Home Screen.
- Leave the name as FormSafely and tap Add.
- Open FormSafely from the home screen and sign in.
Android
- Open the link in Chrome.
- Tap the ⋮ menu at the top right.
- Tap Add to Home screen or Install app.
- Tap Install or Add to confirm.
- Open FormSafely from the home screen and sign in.
3. Fill in forms
- Sign in with the email and password they were given. The first time, they’ll be asked to choose their own password. If they forget it, there’s a Forgot password link.
- Your forms lists every form they can fill. Tap one, fill it in, and tap Submit.
- After submitting, tap Back to my forms to do the next one. Answers show up in your Reports.
- They only need to sign in once. The home-screen app keeps them signed in.
- Add your people under People so they have a login.
- Publish the form and choose who can see it. Published forms you assign appear in their list straight away.
- Shared fill links still work too. Anyone with a link can open it on their phone, and if you turned on sign-in for that form, they’ll be asked to sign in before they can submit.
- Building and editing forms is best on a computer. The phone page only shows forms to fill.
MCP / API keys
Connect an AI assistant, like a Grok Bot, to your FormSafely data using MCP. Keys are read-only: the assistant can list your forms, read submissions (with photos and signatures) and export CSVs, but it can’t change anything. It only sees forms you own or manage as an admin.

MCP / API keys are for organisation admins on the paid Admin plan. Start the 10-day free trial from Reports, then come back here to create a key. If you’re a member, ask your organisation admin.

2. Connect your assistant
Add FormSafely as a custom MCP server in your assistant or MCP client:
- Choose Add custom MCP server (or similar) and paste the server URL. The transport is Streamable HTTP.
- Add a request header named
Authorizationwith the valueBearer, a space, then your key. - Save. The assistant should find six tools: list_forms, get_form, list_submissions, get_submission, submission_counts and export_submissions_csv.
- Treat a key like a password. Anyone with it can read your forms and submissions.
- Revoke a key here straight away if it’s lost or you stop using that assistant. It stops working at once.
- Each key allows 60 requests a minute, and every tool call is logged.
- Only organisation admins on the paid Admin plan can create keys. If the plan ends or you’re made a member instead of an admin, your keys stop working.
FormSafely CRM
A simple customer database for companies, contacts, activities, and deals — built to work with your FormSafely forms.
Use CRM when you need a place to keep customer and company details (including locations), track follow-ups, and look those records up while someone fills a form.

CRM add-on required
Companies, Contacts, Activities, and Deals unlock when CRM is enabled for your organisation. Until then you can still preview how CRM fits into FormSafely.
People
Add people on your organisation domain. They get a login email automatically with a link to choose their own password.
- Add people with a work email on your exact company domain (e.g. @acme.co.nz). Free providers and disposable addresses are blocked.
- After adding, they get a login email with a one-time link to set their own password. No password is shown or emailed. If the email can't be sent, you'll see a temporary password to pass on instead.
- Promote a member to admin when you need a backup; you cannot demote/disable the last admin.
- Typo tip: domains like gmail.com / googlemail.com cannot form an org — use your real company domain, not a near-miss.
Admin activity
- Save the form first, then publish and assign active members (or All).
- Assigned people see it under My forms. Unpublish returns it to draft and clears assignments.
