How to connect Microsoft Outlook to Dropbox Dash

This article describes a feature available to all Dropbox Dash users.


You can connect your Microsoft Outlook account to Dropbox Dash so you can access and search your Microsoft Outlook content directly within Dash. 

Requirements

To connect Microsoft Outlook to Dash, make sure you meet the following requirements:

  • Admin approval: If Microsoft Outlook isn’t listed in your Apps, contact your admin. Learn more about admin approval.
  • Authorization: You must authorize Dash in Microsoft Outlook.
  • Active account: You need an active account with Microsoft Outlook.

Integration features

For Microsoft Outlook, Dash captures the following details:

  • Events: Dash gathers basic event information such as date, event title, location, and attendee list to power event search and the calendar widget.
  • Messages: Dash gathers basic email information such as the sender, recipient, subject line, body text, timestamp, and attachment names.
  • Files: Dash gathers basic information about the file such as the file name, size, and file type for search capabilities.
  • Contacts: Dash gathers basic contact information such as the contact name, email, job title, and profile image to enhance email and calendar search capabilities.

API permissions

When connecting Microsoft Outlook with Dropbox Dash, Dash requests the following authorizations:

  • Have full access to your calendars: This permission allows Dash to read calendar events to populate the calendar view with the most up-to-date information. 
  • Read your mail: This permission allows Dash to read email in your mailbox so that they can be searched within Dash.
  • Maintain access to data you have given Dropbox Dash access to: This permission allows Dash to see and update the data you gave it access to, even when you’re not online. 
  • Read your profile: The permission allows Dash to read your profile so we can identify you after authentication and personalize your experience.
  •  Read all users' basic profiles: This permission allows Dash to read a basic set of profile properties of other users in your organization on behalf of you. This includes display name, first and last name, email address, and photo.
  • Read your contacts: This permission allows Dash to read your contacts.
  • Read your relevant people lists: This permission allows Dash to read a ranked list of relevant people for you. The list includes local contacts, social networking contacts, your organization's directory, and people from recent communications (such as email and Skype).

How content syncing works

  • Content sync starts as soon as you connect. Although the first sync may take several hours to finish, you can start searching while sync is in progress.
  • Dash performs a full sync of your Microsoft Outlook content every 90 minutes and an incremental sync every 25 minutes.

How to connect your Microsoft Outlook account to Dropbox Dash

Note: You can connect multiple Microsoft Suite apps to Dropbox Dash at once, rather than setting them up one at a time. Learn more about connecting Microsoft Suite.

To connect Microsoft Outlook to Dropbox Dash:

  1. Log in to dash.ai.
    • Note: You can also connect apps from the Dropbox home page by clicking  Ask Dash, then  (Attach sources), then Connect apps.
  2. Click Apps near the bottom of the left sidebar.
  3. Locate Microsoft Outlook in the apps list.
  4. Click ① (add) to the right of Microsoft Outlook.
  5. Enter your login credentials, or select an account to connect to Dash.
  6. Review the permissions requested, then click Allow.

How to remove your Microsoft Outlook account from Dropbox Dash

  1. Log in to dash.ai.
    • Note: You can also manage apps from the Dropbox home page by clicking  Ask Dash, then  (Attach sources), then Manage apps.
  2. Click Apps near the bottom of the left sidebar.
  3. Locate Microsoft Outlook in the apps list.
  4. Click ① (more options) to the right of Microsoft Outlook.
  5. Click Disconnect.
  6. Click Disconnect in the pop-up window. 
    • Note: You can reconnect the app anytime.

How to check your connected apps

To check what apps you’ve connected to Dropbox Dash:

  1. Log in to dash.ai.
    • Note: You can also manage apps from the Dropbox home page by clicking  Ask Dash, then  (Attach sources), then Manage apps.
  2. Click Apps near the bottom of the left sidebar.

You’ll see a list of your connected apps in the Added section, along with their connection status.

Admins: How to connect Microsoft Outlook for your team

Before team members can connect their Microsoft Outlook accounts to Dropbox Dash, you must:

  • Step 1: Grant permissions for Dash in Microsoft Entra ID
  • Step 2: Enable Microsoft Outlook in the Dash admin console

Step 1: Grant permissions for Dash in Microsoft Entra ID

First, grant tenant-wide admin consent to Dash. Then configure the user consent workflow (Step 1.2). If your organization requires admin approval for permission requests, you can also configure the admin consent workflow (Step 1.3).

Step 1.1: Grant tenant-wide admin consent to Dash

To grant tenant-wide consent:

  1. Sign in to the Microsoft Entra admin center with an account that can grant app permissions.
  2. Click Entra ID, then Enterprise apps.
  3. Click All applications.
  4. Search for Dash, then choose the right app:
    • Select Dropbox Dash Individual Apps if you connected Microsoft Teams individually, or connected Outlook or OneNote before March 2.
    • Select Dropbox Dash Microsoft 365 if you connected Outlook, OneNote, or OneDrive on or after March 2, or connected Microsoft 365 Suite apps at the same time.
    • Select Dropbox Dash Teams Admin if you’re setting up Microsoft Teams for your organization.
  5. Select Permissions under Security.
  6. Review the app permission requirements, then select Grant admin consent if approved.

Step 1.2: Configure the user consent workflow

Configure the user consent workflow to control when and how team members can grant app permissions. If your organization requires admins to review permission requests before approval, you can also configure the admin consent workflow in Step 1.3.

Note: You only need to configure this workflow once for any Microsoft connector. After it’s set up, the configuration applies to all Microsoft apps.

To configure the user consent workflow:

  1. Sign in to the Microsoft Entra admin center as a Global Administrator.
  2. Click Entra ID, then Enterprise apps.
  3. Click Consent and permissions, then User consent settings.
  4. Under User consent for applications, select which consent setting you want to configure for all users.
  5. Select Save to save your settings.

Step 1.3: Configure the admin consent workflow

To maintain admin oversight while team members request access, configure the admin consent workflow.

Note: You only need to configure this workflow once for any Microsoft connector. After it’s set up, the configuration applies to all Microsoft apps.

To configure the admin consent workflow:

  1. Sign in to the Microsoft Entra admin center as a Global Administrator.
  2. Click Entra ID, then Enterprise apps.
  3. Click Consent and permissions, then Admin consent settings.
  4. Under Admin consent requests, toggle Yes for Users can request admin consent to apps they are unable to consent to.
  5. Configure the following settings:
    • Designate who can review admin consent requests.
    • Enable or disable email notifications for requests and expiration reminders.
    • Specify how long requests remain valid.
  6. Click Save.

Notes:

  • It can take up to an hour for the workflow to become enabled.
  • You can add or remove reviewers by modifying the Who can review admin consent requests list.
  • Even after being removed, reviewers can still review requests created while they were reviewers and will continue to receive expiration reminders for those requests. New reviewers won’t be assigned to requests created before they were added. Learn more about the admin consent workflow.

Step 2: Enable Microsoft Outlook in the Dash admin console

To enable Outlook in Dash:

  1. Log in to dash.ai using your admin credentials.
  2. Click your avatar (profile picture or initials) in the lower left.
  3. Select Admin console.
  4. Click Apps.
  5. Click the More apps tab. 
  6. Click ① Add to the right of Microsoft Outlook.
  7. Click Enable Microsoft Outlook in the pop-up window.

You’ll see a notification that says Microsoft Outlook was enabled.
