Reusable Post Templates Organised by Category

Save the captions you reuse — sales, holidays, weekly recaps — as templates by category, then fill the blanks and post.

How teams use the template library

Marcus Williams

"I write the same kind of weekly recap every Friday. Saving it as a template with placeholders for the week's three highlights cut that post from twenty minutes to about three. The category view keeps my announcement and sale templates separate from the recurring stuff."

Emily Zhang

"Running social for four ecommerce clients, the per-workspace shared library on Teams is what made it work. Each client has its own templates for sales, holidays and product drops. New writers on the team don't need a brand-voice doc — they pick a template and fill it in."

Robert Martinez

"We run a restaurant social agency and every venue has the same recurring posts: weekly menu, weekend special, holiday hours. Twelve templates per client cover ninety percent of the calendar. Onboarding a new account manager is now a half-day instead of two weeks."

Templates by category

Organise post templates by announcement, sale, holiday or recap

Group templates the way your content calendar already works: product announcements, sale or promo posts, holiday greetings, weekly QA or recap posts, customer testimonials, FAQ replies, and behind-the-scenes updates. Each category holds the captions you reuse most, so when Black Friday or your monthly newsletter roll-up comes round, the structure is already written.

Reuse the structure, change only the specifics

Every template keeps the caption skeleton — hook, value, call to action, hashtags — and marks the bits that change as placeholders: product name, date, discount percent, link, customer quote. Open a template, fill in this week's specifics, and publish. The proven structure stays consistent across every post in that category, which is what builds a recognisable brand voice.

One template library for the whole team on Teams plan

On the Teams plan (€4 per user / month) the template library is shared across every workspace member. Whoever writes the next product launch caption saves it once, and the rest of the team uses the same starting point next quarter. New hires inherit a ready library of approved post structures instead of guessing the brand voice. Agencies can keep a separate library per client workspace.

Anyone can save a post as a template; everyone can reuse it

1

Save a post as a template

Write a caption you'll want to reuse, then save it to the library and assign a category — sale, holiday, announcement, weekly recap.
2

Mark the bits that change

Tag fields like date, product name, discount or link as placeholders so each reuse only needs the new specifics filled in.
3

Choose channels and reuse

Open the template, fill the blanks, and apply it to one channel or all six (Instagram, TikTok, X, LinkedIn, Facebook, Threads).
4

Share with the team

On the Teams plan, the library is shared across the workspace so every member starts from the same approved templates.

Template library — frequently asked questions

Questions about reusable post templates and the shared team library? Here's what people ask most.

What kinds of templates can I save?

Any post caption you write more than once: product announcements, sale or promo posts, holiday greetings (Christmas, Black Friday, Eid, Lunar New Year), weekly QA or recap posts, customer testimonials, FAQ replies, behind-the-scenes updates, and event reminders. The library accepts whatever categories match your content calendar — there's no fixed list you have to use.

How are templates organised?

By category — you choose the names. Default categories include Announcements, Sales and Promos, Holidays, Weekly Recaps, QA, Testimonials, and FAQ, but you can add or rename them. Templates also carry tags for which channel they target (Instagram, TikTok, X, LinkedIn, Facebook, Threads or all six) and when they were last used, so the library stays tidy as it grows.

Can a template apply to all six channels at once?

Yes. A template can be marked platform-specific (LinkedIn-only, for example, when the tone or length differs) or set to apply across all six channels: Instagram, TikTok, X, LinkedIn, Facebook, and Threads. Cross-channel templates respect each network's character limits and formatting on publish, so one saved caption fans out without you re-editing per channel.

Is the template library shared across my team?

On the Teams plan (€4 per user / month) yes — the library is shared across every workspace member, so anyone can save a post as a template and anyone else can reuse it. On Free, Premium (€11/month) and Business (€39/month) the library is per-account. Agencies on Teams can keep separate libraries per client workspace.

How do fill-in-the-blanks templates work?

When you save a template, mark the parts that change between uses — date, product name, discount percent, link, customer quote — as placeholder fields. The caption skeleton, hashtags and call to action stay fixed. Next time you reuse the template, you only fill in the new specifics, which keeps the post structure consistent across every announcement or sale you run.

Do I need a paid plan to use templates?

No. The Free plan includes the template library for personal use. Paid plans (Premium €11/month, Business €39/month) raise post and channel limits. The Teams plan (€4 per user / month) adds the shared library so every workspace member can build on the same templates. All paid plans include a 7-day trial.

Can I edit a template after saving it?

Yes. Open any template from the library, change the caption, hashtags, placeholders or category, and save. Edits apply to future uses, not to posts you've already published from that template. You can also duplicate a template — useful when one announcement structure works for both product launches and partnership posts with small wording tweaks.

Can I see which templates I use most?

Yes. The library shows last-used date and reuse count per template, so the captions you actually rely on float to the top. Quiet templates that haven't been touched in months are easy to spot and either retire or refresh. This matters once a team has built up a few dozen templates across categories and channels.
